Job Description
Fergeson Skipper is a well-recognized, prestigious law firm with an outstanding reputation for providing superior legal services aided by our talented and dedicated employees. The Administrative Assistant provides general administrative and operational support to the firm, with a primary focus on assisting the paralegal team with document processing, scanning, data entry, file maintenance, and other administrative tasks. This position also serves as the primary backup for the firm's receptionist and provides backup support for courthouse errands, mail, and other administrative duties within the Litigation Department. The successful candidate will be organized, detail-oriented, dependable, and able to manage multiple responsibilities while working independently and as part of a team.
Key Responsibilities Paralegal and Administrative Support:
Assist paralegals with administrative and overflow duties. Scan, upload, organize, and maintain documents in electronic files. Enter and update information in databases, case management systems, and other electronic systems. Create, maintain, and organize physical and electronic files. Assist with electronic file and project folder maintenance. Assist with document management and records organization. Ensure documents and information are properly classified, indexed, and easily accessible when needed. Assist with maintaining accurate and organized records in accordance with firm procedures. Perform data entry and other routine administrative tasks with a high degree of accuracy. Provide general administrative support to the paralegal team as needed. Complete ad hoc projects and other duties as assigned.Reception and Front Desk Backup:
Serve as the primary backup for the firm's receptionist. Provide front desk coverage as needed. Greet and assist visitors in a professional and courteous manner. Answer and direct telephone calls and messages. Assist with general inquiries and other front-office administrative duties when providing reception coverage.Mail, Errands & Courthouse Support:
Serve as backup for the Litigation Department's courthouse and mail responsibilities. Take outgoing mail to post office daily as needed. Run courthouse errands and make deliveries or pickups as assigned. Desired Qualifications Previous administrative experience; law firm experience preferred. Experience working in a professional office environment. Strong organizational skills and the ability to multitask and prioritize competing responsibilities. Excellent attention to detail and accuracy. Strong written and verbal communication skills. Ability to work independently while also working effectively as part of a team. Dependable and flexible, with the ability to respond to changing priorities and provide coverage when needed. Proficiency in Microsoft Office, including Word, Excel, and Outlook. Experience with document management, case management, database, or records management systems preferred. Ability to learn and become proficient in firm-specific software and electronic filing systems. Professional demeanor and ability to interact effectively with attorneys, paralegals, staff, clients, vendors, and visitors. Ability to maintain confidentiality and exercise sound judgment when handling firm and client information.Pay:
