HQ Aero is currently recruiting for an Administrative Assistant for a temporary position in

TAMARAC, FL
Job Overview:

We are seeking a reliable and detail-oriented Administrative Assistant to support a document scanning and digital filing project. The successful candidate will be responsible for organizing paper records, scanning documents, verifying image quality, indexing files, and ensuring accurate electronic storage within company filing systems. This position requires strong organizational skills, attention to detail, and the ability to handle confidential information with professionalism.

Responsibilities and Duties (included but not limited to)

Prepare physical documents for scanning by removing staples, paper clips, and other obstructions.

Sort, organize, and categorize records according to established filing procedures.

Scan paper documents into electronic formats using company scanning equipment.

Review scanned files to ensure completeness, readability, and accuracy.

Rename, index, and organize electronic files according to company standards.

Upload documents into designated digital filing systems and shared drives.

Perform quality control checks to verify proper document storage and retrieval.

Maintain document confidentiality and security at all times.

Assist with retrieval and disposition of physical records as directed.

Track project progress and report status updates to management.

Support other administrative tasks as needed during the project.

Qualifications:

Must be at least 18 years of age.

High School Diploma/GED

Proven experience in an administrative setting.

Must pass a comprehensive background check.

Must pass pre-employment drug test - We are a drug free work place!

Excellent time management skills and ability to multi-task and prioritize work.

Proficiency in MS Office

Working knowledge of office equipment, like printers, scanners, and fax machines.

Strong ethics and reliability.

Problem-solving & decision-making aptitude.

Excellent written (spelling, punctuation, sentence structure, and writing) and verbal communication skills (must collaborate with leads, managements, and support personnel on a regular basis)

Attention to detail and problem-solving skills.
