We are hiring a Medical Assistantto join our clinical team. About the Role The Medical Assistant administers TMS treatment sessions, maintains same-day clinical and billing records, and is the primary point of clinical contact for patients throughout their treatment course. This role reports to the Office Manager, with clinical direction from Dr. Francis. Responsibilities Arrive on time and ready to work for every shift, Monday-Friday, 8:00 AM-5:00 PM. On-time attendance is a condition of this role, as late arrival delays every scheduled patient that day. Administer TMS treatment sessions following physician protocol, including motor threshold checks and session settings. Prepare and calibrate treatment equipment before each patient session. Confirm every scheduled patient has an active, non-expired treatment authorization before starting their session; report any gap to the Office Manager the same day. Document every treatment session in the EHR the same day it occurs; no next-day or batched documentation.
Check in patients:
verify demographics, insurance information, and signed consent forms. Collect all patient balances and co-pays due at time of service before or at check-in. Update the practice management system (PMS) with patient records and appointment records the same day any change occurs: new patients, demographic changes, cancellations, reschedules, and no-shows. Track and update treatment progress and outcome measures (e.g., PHQ-9) at each required interval per protocol. Prepare clinical documentation (chart notes, diagnosis history, prior treatment failures) needed for prior authorization and re-authorization requests. Answer patient calls and portal messages about symptoms, scheduling, and treatment the same business day; escalate clinical concerns directly to Dr. Francis. Track TMS supply inventory (coil covers, ear protection, treatment logs) and report shortages to the Office Manager before supplies run out. Follow HIPAA requirements for all patient information, without exception. Requirements Certified/Registered Medical Assistant (CMA or RMA), or equivalent completed clinical training. Bilingual (English/Spanish) preferred. Able to work Monday-Friday, 8:00 AM-5:00 PM, in person at the clinic, with reliable on-time attendance. Working knowledge of EHR and practice management (PMS) systems. Current CPR/BLS certification at time of hire. No prior TMS experience required — training on TMS protocol is provided on the job.
