JOB SUMMARY

The Assistant Administrator helps keep the HFC office running smoothly. This position assists residents and guests, supports activities and events, handles office and financial records, coordinates room rentals, and provides general administrative support.

MAIN RESPONSIBILITIES

Resident & Front Desk Services

Answer phones and greet residents and guests
Answer questions and provide information about the HFC, activities, events, and community services.
Assist residents with copying, scanning, and faxing.
Receive and process mail, packages, and deliveries.
Respond professionally to questions, concerns, and complaints.
Maintain organized records and protect confidential information. Activities, Events & Communications
Help plan, schedule, promote, and coordinate activities, seminars, classes, and special events.
Create flyers, signs, announcements, newsletter items, and other community information.
Assist with room and event setups and make sure the equipment needed is available.
Assist instructors, volunteers, residents, and event coordinators.
Help recruit and coordinate volunteers when needed. Room Rentals
Provide room rental information
Collect rental fees, security deposits, and required forms.
Maintain accurate rental records and assist with room setup needs.

Ability to learn and follow Lake Ashton II CDD policies and procedures.

COMPUTER & OFFICE SKILLS

Working knowledge of Microsoft Outlook, Word, Excel, PowerPoint, Publisher, email, and internet applications. Ability to use standard office equipment including copier/scanner, multi-line phone, laminator, and credit card processor.

EDUCATION & EXPERIENCE

Minimum 2 years in recreation, or a related field preferred; equivalent work experience may be considered.
Previous office administration, customer service, recreation, or related experience preferred.
preferred CPR/AED certification.

PHYSICAL REQUIREMENTS

Ability to sit and work at a computer for extended periods.
Some bending, reaching, stooping, and standing.
Ability to occasionally lift to 20 pounds and operate standard office equipment.

WORK SCHEDULE

Full-time, primarily Monday through Friday. Some evening and weekend hours may be required for meetings, activities, and special events.

OVERALL RESPONSIBILITY

Provide excellent service to residents, support activities and events, maintain accurate records Other duties may be assigned as needed to support Lake Ashton II CDD and the Health & Fitness Center.
