Job Description

Job Summary We are seeking a part-time entry level administrative person to join our team 3+ days a week. Complementing the activities of our office administrator. Part-Time with possibility of full -time. Starting at 3 Days a week, 6 Hours per day, 9 am to 4 pm. Flexible schedule required to accommodate needs. We're looking for someone who brings positivity, and capable administration skills to support our design, manufacturing, procurement, and sales operations. Must be detail-oriented, organized, pleasant and capable to support our customers, vendors and staff in a professional manner. We are a small business with 25+ years of operation seeking a long term team member to be responsible for all aspects of business operations. Proficiency desired in Microsoft Office, Excel, file and document organization, ability to learn accounting software, customer and supplier communications, shipping, contract management and various associated tasks. The ideal candidate will be prompt, courteous and fast learning with a growing responsibility for our success. Duties include, but are not limited to : Manage daily office operations, including customer communications, email and phone and administrative support. Respond to customer inquiries, create quotations, invoices, shipping documents and support of staff operations. Interact with Production, Engineering and Management to process and communicate orders and status. Purchase materials and supplies with emphasis on delivery, cost and inventory levels. Maintain organized filing systems for both physical and electronic documents. Create procedures and processes for smooth operations as required. Utilize accounting software for invoicing, accounts payable, accounts receivable, and sales. Confident, capable, pleasant and responsible interaction with customers, staff, and vendors to promote efficient operations. Ensure compliance with customer quality, delivery requirements and procedures while maintaining a professional enjoyable environment. Only serious, capable, long term candidates will be considered. Must have valid drivers license, insurance and transportation for any needed local tasks. Requirements Strong organizational skills with the ability to prioritize tasks effectively. Ability to multi-task as requirements change. Excellent communication skills, both verbal and written. Ability to work independently as well as part of a team. Attention to detail with a focus on accuracy in all tasks performed.
