Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly Maintain accurate data entry using tools like QuickBooks, Microsoft Office, and Google Workspace for record-keeping and reporting Organize files, documents, and correspondence through meticulous filing systems and proofreading to ensure accuracy Support calendar management by scheduling appointments, meetings, and coordinating events with excellent time management skills Assist with bookkeeping tasks, including basic bookkeeping and invoice processing to support office financial activities Provide exceptional customer support via phone or email, addressing inquiries with professionalism and courtesy Perform clerical duties such as typing reports, proofreading documents, and managing office supplies to keep the workspace organized Support office management activities by overseeing general administrative functions and ensuring smooth daily operations Qualifications Proven office experience with strong organizational skills and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace Demonstrated clerical experience including data entry, filing, proofreading, and document management Excellent phone etiquette with experience managing multi-line phone systems in a professional setting Bilingual abilities are highly valued to assist diverse clients and team members effectively Familiarity with QuickBooks or bookkeeping software is preferred for financial tasks Strong computer literacy combined with exceptional time management skills to prioritize tasks efficiently Experience as a receptionist or personal assistant is advantageous; knowledge of medical or dental receptionist duties is a plus Ability to handle confidential information discreetly while providing outstanding customer service Join us as an Administrative Assistant and become a key contributor to our vibrant team!
