Job Description

Position Overview We are seeking a highly organized, dependable, and detail-oriented Administrative Assistant to support a busy legal office. This position will provide administrative and operational support to the Supervising Attorney, Case Manager, and Paralegal, helping ensure that client matters are handled efficiently, deadlines are tracked, files are organized, and day-to-day office operations run smoothly. The ideal candidate is professional, proactive, comfortable working in a fast-paced environment, and able to manage multiple priorities while maintaining strict confidentiality. Experience in a legal office or professional services environment is required for the right candidate. Key Responsibilities Administrative & Office Support Provide day-to-day administrative support to the Supervising Attorney, Case Manager, and Paralegal. Manage calendars, appointments, meetings, and reminders. Answer and direct telephone calls, respond to routine inquiries, and greet clients and visitors professionally. Prepare, format, scan, copy, organize, and electronically file documents. Maintain organized physical and electronic files in accordance with office procedures. Monitor and process incoming and outgoing mail, email, correspondence, and other communications. Assist with general office organization, supply management, and administrative projects. Legal Case & Client Support Assist the legal team with administrative tasks related to intake and active client matters. Open, organize, update, and maintain client files and case-related records. Assist with collecting, organizing, and tracking client documents and information. Prepare routine correspondence, forms, and other documents as directed. Assist with scheduling client appointments, meetings, and case-related events. Follow up on outstanding administrative items and help ensure that requested documents or information are received timely. Enter and maintain accurate information in case-management and office systems. Provide professional and courteous communication with clients, courts, opposing counsel, agencies, vendors, and other contacts as directed. Attorney & Case Team Support Assist the Supervising Attorney with administrative tasks, scheduling, correspondence, document preparation, and organization. Support the Case Manager and Paralegal's case-related administrative needs and workflow. Help track deadlines, appointments, follow-ups, and other important case activities. Assist with preparing materials for meetings, hearings, appointments, and other legal proceedings. Handle sensitive and confidential information with professionalism and discretion. Qualifications High school diploma or equivalent required; additional education or relevant training is a plus. Prior administrative, legal-office, or professional-services experience required. Excellent organizational and time-management skills. Strong attention to detail and accuracy. Excellent written and verbal communication skills. Professional and courteous demeanor when interacting with clients and colleagues. Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Strong computer skills, including proficiency with Microsoft Office or comparable software. Ability to learn and effectively use case-management, document-management, and other office software. Ability to maintain confidentiality and exercise sound judgment when handling sensitive information. Reliable attendance, punctuality, and a strong work ethic.
