Job Description
H.E. Hodge Company is seeking a dependable, organized, and professional Administrative Assistant to provide direct support to the Executive Vice President and assist with the day-to-day administrative needs of the company. This position will play an important role in keeping the office organized, handling routine administrative responsibilities, maintaining business licenses and company records, assisting with banking and other company errands, answering incoming telephone calls, and helping the Executive Vice President with administrative needs as they arise. The ideal candidate is organized, trustworthy, responsive, professional, and comfortable handling a variety of responsibilities in a fast-paced business environment. Primary Responsibilities Executive Vice President Support Provide direct administrative support to the Executive Vice President. Assist with scheduling, correspondence, documentation, follow-ups, and other administrative needs. Help organize documents, records, meetings, and information needed by the Executive Vice President. Track assigned tasks and follow up to ensure administrative items are completed. Assist with special projects and other assignments as requested. Maintain confidentiality regarding company, employee, customer, and financial information. Business Licenses & Company Compliance Maintain and organize H.E. Hodge's business licenses, registrations, and related documentation. Track expiration and renewal dates and help ensure licenses are renewed on time. Assist with applications, renewals, supporting documentation, and correspondence with state and local agencies. Maintain an organized electronic record of licenses and supporting documentation. Help maintain company records and administrative compliance documentation. Banking & Company Errands Make routine trips to the bank for company deposits, documents, and other authorized banking needs. Assist with delivering or picking up documents, checks, mail, supplies, and other company materials. Maintain appropriate documentation and confidentiality when handling checks, deposits, or other sensitive materials. Assist the Executive Vice President with other company-related errands when needed. Reception & Telephone Support Answer incoming company telephone calls professionally and promptly. Direct calls to the appropriate employee or department. Take accurate messages and ensure they reach the appropriate person. Assist customers, vendors, employees, and other callers with basic questions. Greet and assist office visitors when necessary. Help maintain a professional and welcoming front-office environment. General Administrative Support Assist with scanning, filing, copying, mailing, and document organization. Maintain electronic and physical files as needed. Assist with incoming and outgoing mail and packages. Order and maintain office and kitchen supplies. Assist with company meetings, lunches, events, and employee activities. Help prepare basic documents, spreadsheets, letters, forms, and reports. Assist other members of the executive team with administrative needs when directed by the Executive Vice President. Help keep common office areas organized and functioning properly. Perform other administrative duties and special projects as assigned. Qualifications High school diploma or equivalent required; additional administrative or business education preferred. Previous administrative assistant, office assistant, receptionist, or executive support experience preferred. Strong organizational and time-management skills. Professional telephone and communication skills. Comfortable working with Microsoft Outlook, Word, Excel, Teams, and other common office applications. Ability to manage multiple assignments and changing priorities. Strong attention to detail and follow-through. Ability to work independently and recognize when something requires follow-up. Professional demeanor when interacting with customers, vendors, employees, executives, banks, and government agencies. Valid driver's license and reliable transportation for occasional company errands. Ability to maintain strict confidentiality.
