Job Description
H.E. Hodge Company is seeking an organized, dependable, and proactive Operations & Executive Administrative Assistant to provide direct administrative support to the Vice President of Operations and Executive Vice President. This position will help leadership stay organized, maintain company records and administrative requirements, coordinate meetings and schedules, track action items, assist with business licenses and company registrations, answer incoming calls, handle routine banking and office responsibilities, and provide administrative support for operational and executive initiatives. The primary purpose of this position is to reduce routine administrative responsibilities placed on the VP of Operations and EVP so they can remain focused on leadership, employees, customers, financial performance, and company operations. Vice President of Operations Support Provide direct administrative support to the Vice President of Operations. Assist with calendars, scheduling, meetings, and appointments. Prepare reports, spreadsheets, presentations, correspondence, and other documents. Assist with preparation for operations and management meetings. Take meeting notes and document action items when requested. Maintain action-item lists and follow up with responsible employees regarding deadlines. Organize operational reports and information requested by the VP of Operations. Assist with maintaining departmental schedules, trackers, and reporting. Coordinate meetings between departments and company leadership. Assist with collecting information needed for operational reviews. Maintain organized records of operational documents and reports. Assist with special projects and company initiatives assigned by the VP of Operations. Executive Vice President Support Provide direct administrative support to the Executive Vice President. Assist with calendars, scheduling, meetings, and appointments. Prepare correspondence, reports, spreadsheets, forms, and other business documents. Organize documents and information needed for executive meetings. Maintain and track executive action items and follow-ups. Assist with company administrative requirements and documentation. Coordinate internal and external meetings as requested. Assist with special projects and initiatives assigned by the EVP. Maintain strict confidentiality regarding company, employee, customer, legal, and financial information. Telephone & Front Office Support Answer incoming company telephone calls professionally and promptly. Direct calls to the appropriate employee or department. Take accurate messages and ensure they are delivered to the appropriate person. Assist customers, vendors, manufacturers, and other callers with basic inquiries. Greet and assist visitors to the office. Help maintain a professional and welcoming office environment. General Office Administration Manage incoming and outgoing mail and packages. Scan, copy, file, and organize documents. Maintain electronic and physical company records. Assist with document preparation and data entry. Order and maintain office and kitchen supplies. Assist with coordinating company meetings, lunches, events, and employee activities. Maintain conference rooms and common administrative areas. Assist with travel arrangements and reservations when requested. Coordinate appointments with vendors and service providers for office-related matters. Assist with miscellaneous administrative needs of the VP of Operations and EVP. Perform other duties and special projects as assigned. Qualifications High school diploma or equivalent required; associate degree or additional business education preferred. Previous administrative assistant, executive assistant, office administrator, or similar experience preferred. Experience supporting senior leadership is a plus. Strong organizational and time-management skills. Excellent attention to detail and follow-through. Strong written and verbal communication skills. Professional telephone and customer-service skills. Proficiency with Microsoft Outlook, Word, Excel, Teams, and similar applications. Ability to learn Acumatica and other company systems. Ability to manage multiple responsibilities and changing priorities. Valid driver's license and reliable transportation for occasional company errands.
