Overview Norma's Academy of Dance is seeking a highly organized, service-oriented Studio Experience & Operations Coordinator to serve as both the operational hub and a welcoming ambassador of our studio. As one of the first people our students and families interact with, this role plays a vital part in creating an exceptional experience while embodying the culture, values, and sense of community that define NAOD. Working closely with the studio director and Enrollment Coordinator, this position oversees front desk operations, family communication, billing administration, event coordination, and administrative systems. Through outstanding customer service, organization, and operational excellence, the Studio Experience & Operations Coordinator helps ensure every student and family feels welcomed, supported, and truly part of the NAOD community from the moment they walk through our doors. Primary Responsibilities Studio Experience & Front Desk Serve as the welcoming, front-facing ambassador of NAOD. Manage the front desk during assigned studio hours. Greet and assist students, families and visitors. Answer phones, emails and routine family questions. Support class transitions and maintain a welcoming, organized studio environment. Complete assigned opening and closing procedures. Family Communication & Administration Coordinate routine communications to current families, including weekly emails, newsletters, reminders, and studio announcements. Maintain communication calendars, templates and family resources. Monitor attendance and complete routine administrative reports. Maintain accurate student/family records and studio administrative systems. Support new family onboarding and retention initiatives. Billing Administration Process/post payments as assigned. Pull outstanding-balance reports and complete routine billing follow-up. Assist families with basic account questions and escalate exceptions or disputes appropriately. Studio Operations Maintain front desk/lobby organization, signage, supplies, merchandise, and inventory. Support new-family onboarding and trial-family arrival. Complete recurring administrative tasks and assigned studio projects. Additional paid project hours may be available for Open House, Holiday Production, Spring Concert, registration periods and other seasonal studio events. Required Skills & Software Knowledge Preferred experience with: Customer service, hospitality, front desk, or family-facing roles Office administration Operations coordination Event coordination Google Workspace (Docs, Sheets, Gmail) Mail Merge Canva Studio Pro (training provided) Go High Level (training provided) Basic inventory management and reporting Our Ideal Candidate We're looking for someone who is: Warm, welcoming, and service-oriented Highly organized and detail-oriented An excellent verbal and written communicator Proactive and dependable Comfortable managing multiple projects simultaneously Passionate about creating exceptional customer experiences Dance experience is appreciated but not required. Compensation $20.00 per hour Additional paid hours may be available during registration, productions, studio events, and seasonal initiatives.
