Administrative Support to the President Support and help schedule and manage the President's calendar Provide administrative support to the President as needed (phones, copying, printing, scanning, filing, scheduling internal meetings) Coordinate catering requests for on-campus Board of Trustees' meetings and academy special guests and visitors Administrative Support to the Executive Leaders and Academy Schedule internal academy meetings as needed Update and maintain Blackbaud calendar Serve as initial point of contact/switchboard for incoming calls Coordinate, update, and manage automated phone system for incoming calls to RMA; including recording and activation of both standard and holiday messages Greet academy visitors and special guests Coordinate visitors and Raptor Visitor System Coordinate and track reservations for conference rooms/meeting locations/campus venues Coordinate, update, and maintain internal employee phone extensions list and directory by department Coordinate with the Cadet Store any standard office supplies needed for each division of the academy Coordinate outbound U.S. mail, overnight/2-day packages, and special delivery Administrative Support to Office of Admissions Essential responsibilities to Admissions as identified in the task list already developed Serve as back-up to Admissions Coordinator Monitor Admissions website information Assist with Admissions events Education High school diploma Associate degree in Business Administration or a related field preferred. Experience 1-3 years of administrative, executive assistant, office management, or similar experience. Experience supporting senior leadership, executives, or a president/CEO strongly preferred. Experience handling confidential or sensitive information. Key Skills Strong verbal and written communication skills. Excellent organizational and time-management skills. Strong attention to detail and accuracy. Ability to prioritize multiple competing deadlines. Proficiency with Microsoft Office, Word, Excel, Outlook, and PowerPoint. Strong judgement, discretion, and confidentiality Preferred Characteristics Dependable and punctual. Professional, organized, and service-oriented. Flexible and able to adapt to changing priorities. Takes initiative and anticipates administrative needs. Maintains a positive attitude in a fast-paced environment.
