Job Description

Job Description We are a commercial countertop fabrication company seeking a dependable and highly organized Shop Administrative Assistant to support our day-to-day office, shop, and project administration. This is an in-person support position working closely with our Operations Manager, Owner, and accounting staff. The ideal candidate does not need extensive construction or accounting experience. We are looking for someone who is organized, comfortable with computers, communicates well, follows instructions, and is willing to learn. This position is a good fit for someone who enjoys keeping information organized, completing tasks, following up on outstanding items, and helping a busy team stay on track. Responsibilities
  • Scan, organize, name, and file project and accounting documents
  • Maintain electronic job folders and company records
  • Collect receipts, delivery tickets, invoices, and other paperwork from shop and field personnel
  • Assist with gathering supporting documentation for customer billing and pay applications
  • Request and send routine documents such as COIs, W-9s, and vendor paperwork
  • Track missing documents and follow up until received
  • Download and organize invoices, statements, receipts, and other records
  • Assist accounting staff with data entry and other routine administrative tasks
  • Maintain spreadsheets and administrative trackers
  • Help organize project documentation and closeout records
  • Handle routine email correspondence and document requests
  • Provide administrative support to the Owner and Operations Manager
  • Assist with general office and shop administrative duties as needed Qualifications
  • Strong organizational skills and attention to detail
  • Comfortable using computers, email, Microsoft Office, and cloud-based file systems
  • Able to follow written and verbal instructions
  • Able to manage multiple tasks without losing track of details
  • Good written communication skills
  • Dependable and consistent attendance
  • Comfortable asking questions when instructions or information are unclear
  • Able to work independently after training
  • Willingness to learn commercial construction paperwork and processes Construction, project administration, QuickBooks, or accounting-office experience is helpful but not required.

This is a hands-on position in a small, busy commercial fabrication company. Priorities can change throughout the day, so the right candidate will be comfortable working in an active environment and helping wherever administrative support is needed. Compensation & Schedule
  • Starting pay: $16.00 per hour
  • Full-time, approximately 40 hours per week
