Job Summary Front Office Administrative Assistant We are seeking a motivated, dependable, and detail-oriented Front Office Administrative Assistant to join our growing Construction & Property Management team. This position is ideal for a local candidate seeking a long-term career opportunity with a stable and growing company. This role requires a highly organized, trustworthy individual who can maintain confidentiality, manage multiple responsibilities, and contribute positively to our team culture. The Front Office Administrative Assistant will provide administrative support to ensure smooth day-to-day office operations while assisting with property management functions involving rental properties, mini storage facilities, and RV park operations Administrative Duties Answer incoming calls professionally and assist callers with questions and inquiries. Take accurate messages and relay information promptly to the appropriate team members. Greet visitors and provide exceptional customer service. Maintain and organize company records, contracts, permits, licenses, and compliance documentation. Ensure filing systems are accurate, organized, and up to date. Prepare correspondence, reports, and other business documents as needed. Coordinate schedules, appointments, and office communications. Support weekly payroll processing and related administrative tasks when the Office Manager is unavailable. Maintain confidentiality of employee, tenant, customer, and company information. Assist management with special projects and other administrative duties as assigned. Property Management Responsibilities Manage rent collections for mini storage units, rental properties, and RV park tenants. Maintain accurate tenant records, lease agreements, payment histories, and compliance documentation. Assist with tenant communications, move-ins, move-outs, and general customer service inquiries. Conduct weekly walkthroughs of storage facilities and RV park grounds to ensure cleanliness, safety, and overall customer satisfaction. Identify and report maintenance, safety, or operational concerns and coordinate corrective actions. Perform semi-annual property inspections and document findings. Track, schedule, and coordinate property maintenance, repairs, and vendor services. Monitor work orders to ensure maintenance requests are completed efficiently and satisfactorily. Assist in the development and implement effective marketing strategies to promote company services, rental properties, mini storage facilities, and RV park operations. Create and maintain marketing materials, social media content, and advertising campaigns. Consistently produce creative marketing initiatives that support occupancy, customer retention, and business growth. Qualifications Excellent phone etiquette and professional communication skills. Strong customer service and interpersonal skills. Experience with basic filing and record-keeping systems. Broad computer proficiency, including Microsoft Office and general office software. Ability to multitask and prioritize responsibilities in a fast-paced environment. Strong organizational skills and attention to detail. Ability to work independently and as part of a team. Trustworthy, dependable, and able to maintain confidentiality. Positive attitude with a willingness to learn and grow within the company. Property management, administrative, office experience is preferred but not required.
