Immediately Job Description Houston County Board of Education Job Description Classified Positions Job Title _Administrative Assistant ____ Job Code ____487_______________ Department/Location Central Office _ FLSA Status Exempt Reports to _Assistant/Deputy Superintendent Date __July 28, 2005 Summary and relationship to the curriculum: All classified positions will strengthen the delivery of instruction to support the system mission statement. This position provides administrative clerical support to the Assistant/Deputy Superintendent.
Essential Duties and Responsibilities:
Interacts effectively with the general public, students, staff members, teachers, parents and administrators, using tact and good judgment. Prepares correspondence, articles, reports, manuals and other materials on general or technical subjects; drafts routine acknowledgements in response to inquiries not requiring a supervisor's attention. Composes or transcribes professional correspondence. Exercises a significant amount of authority to complete assigned duties with minimal review by the administrator. Maintains absolute confidentiality of both written and verbally expressed sensitive materials and information. Maintains data, statistics, records and other information for which the supervisor is responsible. Operates various office equipment. Performs general clerical duties such as filing, generating reports and presentations, setting up for meetings and reordering supplies. Receives and distributes mail. Answers telephones, greets visitors and refers to appropriate department. Assists in maintaining efficient office operations by providing clerical relief whenever and wherever needed. Maintains files, accurate records and other important information associated with the position. Arranges meetings, conferences and trips for appropriate staff. Duplicates, collates and disseminates written materials to schools and appropriate personnel; prepares documents and packages for mailings. Prepares purchase orders and budgetary reports. Participates in training programs to increase skills and proficiency related to assignment. Performs other duties as requested by Assistant/Deputy Superintendent.

Language Skills:
Must have ability to read and comprehend job specific technical information, simple instructions, short correspondence, memos and position specific manuals. Must have ability to write correspondence and reports. Must have ability to effectively articulate and present information in one-on-one and small group situations.
Mathematical Skills:
Must have ability to add, subtract, multiply and divide in all units of measure, using whole number, common fractions, and decimals. Must have ability to conduct position related data analysis. Must have ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability:
Must be able to facilitate the problem solving processes. Must have ability to synthesize workable options from given facts, and assist in the development of workable solutions.
Technical Ability:
Must have considerable knowledge of Microsoft Office and other job specified technologies.
Customer Service Skills:
Must be able to interact effectively with colleagues, administrators, teachers, staff members, students using tactful yet effective skills. Must collaborate well with others and display a cooperative attitude. Must be service oriented and actively seek ways to assist others.
