About Us McManamy Jackson Hollis, LLC is a law firm specializing in real estate transactions of both residential and commercial property. The firm has offices in Savannah, Richmond Hill, Rincon, and Pooler. Savannah is the main office. The firm employs more than 30 lawyers and staff. Job Summary Administrative Assistants provide clerical support to managers and other staff to ensure the administrative functions of the firm are carried out efficiently and in accordance with firm policies and procedures. Non-Exempt Position Usual Hours - Monday through Friday, 9:00 a.m. - 5:00 p.m. Reporting Structure The Administrative Manager reports to the COO Administrative Assistant reports to the Administrative Manager Essential Functions Prepares and receives items for mail and delivery Runs general errands for the firm as instructed by management Performs filing, scanning, faxing, and other various light clerical tasks Serves as backup to the Firm's Receptionist Assists with inventory and ordering of general and office supplies for the firm Responsible for reporting building and equipment maintenance concerns to management Assists with coordinating with vendors via telephone and onsite Maintains detailed paper and electronic documentation for audit compliance Exhibits organizational and time management skills. Works well under pressure with stringent deadlines and be a team player Appreciation and respect for Client confidentiality Willingness to participate in system focused work-flow process in which he or she is one of many links Expresses thoughts clearly and concisely through written and verbal communication Cooperates with other staff Shows enthusiasm for the job and projects a positive attitude Exhibits a strong work ethic Expresses team spirit and cooperation by regularly participating in staff conferences, and sharing ideas among all co-workers, leaders and specialists Exhibits the utmost respect for financial controls governed by multiple public and private sources and internal firm policies and procedures respecting proper file handling Other tasks as assigned by the firm to accomplish the mission of providing its clients with courteous and efficient service Physical Requirements of the Job Ability to hear on the telephone Ability to speak Ability to focus Ability to see (with correction) small printed documents Manual and finger dexterity for typing Sitting for long periods of time Must be able to drive Frequent lifting of paper boxes and supplies weighing up to 50 pounds. Minimum Qualifications Attention to detail Excellent written and verbal communication skills High school diploma or equivalent preferred Must have basic skills in Microsoft Outlook, Word & Excel Valid driver's license required Must pass a criminal background check Employment is subject to a 60-day probationary period
