REQUIREMENTS:
Educational Level:

High School Diploma w/applicable experience and/or education

Acceptable criminal background check

Certification/License Required:

No

Strong interpersonal skills; ability to work with all central office and school personnel

Physical Activities:

Routine physical activities that are required to fulfill job responsibilities Computer skills, including use of Microsoft Excel and Google Apps; ability to learn how to effectively use the SIS platform. (IC)

Experience:

High School Diploma-Minimum

Certification courses and/or a college degree are preferred

School Level Experience Preferred

Demonstrated ability to work with data, various data systems, and confidential information; experience with a SIS program - Infinite Campus, GaDOE portal, and state reporting preferred; working knowledge of Accountability ~ CCRPI

The Board of Education and the Superintendent may accept alternatives to some of the above requirements.

ESSENTIAL DUTIES

Centralized Registration and User Support

Application Management:

Facilitate the end-to-end processing of online enrollment applications.

Required Steps

Review the application for completion.

Verify the accuracy of all information of records

Final approval and data acceptance

Notify appropriate stakeholders

Public Relations & Communication:

Serve as a primary point of contact for the Student Records Center (SRC), managing walk-in inquiries, phone calls, and the departmental voicemail/email systems.

Specialized Language Support:

Provide Spanish interpretation services to assist families during the registration and records request process.

System Specialist Support:

Act as the initial line of support for Online Registration (OLR), providing technical guidance as an OLR Specialist and Parent Portal Support Specialist.

System Access Management:

Manage and monitor Infinite Campus (IC) Portal usage, membership reports, and overall portal access for parents and students.

Compliance:

Monitor monthly adherence to state mandates, specifically monitoring HB530 and HB268 compliance requirements.

Records Collection and Coordination:

Send out initial records requests and notify appropriate district stakeholders such as SpEd, EL, 504, and Gifted.

Data Maintenance and Updates:

Process all parent portal data changes and updates for current students. State, Federal, and Local Reporting

Ensures the security and confidentiality of all student data.

FTE & Data Integrity:

Assist school-level staff with identifying and resolving errors in FTE (Full-Time Equivalent), Student Class (SC), and Student Record (SR) reporting.

Special Education Documentation:

Manage and execute the GoIEP data upload process to Infinite Campus to ensure compliance with Special Education reporting.

State Claims:

Process and manage GTID (Georgia Testing ID) claims through the GUIDE system.

Auditing and Reporting:

Conduct attendance audits and prepare district-level reports related to student attendance.

Maintenance and Updates:

Primary district contact for all households and guardian changes within Infinite Campus

Miscellaneous

Media Management:

Oversee the organization and uploading of student photographs within the district database.

Processes and Procedures:

Assist teammates in establishing and implementing efficient departmental processes and procedures. Other Duties and Responsibilities as Assigned

Salary:

$41,000 to $59,000 Per Year
