We provide comprehensive roofing services, including roof replacements, repairs, service, and preventative maintenance. As our company continues to grow, we are looking for an organized and motivated Commercial Service Administrative Assistant to join our team and grow with a strong, team-oriented company. Position Summary We are seeking an organized, dependable, and customer-focused Commercial Service Administrative Assistant to support our service and operations team. This position coordinates daily activities between roofing crews, customers, and office staff while ensuring service calls are properly scheduled, documented, completed, and invoiced. Key Responsibilities Coordinate daily schedules with Service Foremen and roofing crews, confirming job locations, materials, equipment, and work requirements. Review emails, service requests, and outstanding items to prioritize daily activities. Process and close completed service work orders and submit them for approval Ensure work orders include accurate scopes of work, labor hours, materials, and required photos before crews are dismissed. Monitor job progress and follow up with crews regarding incomplete work, documentation, or scheduling needs. Confirm next-day appointments and arrival times with commercial customers. Schedule commercial roof leak, repair, inspection, and maintenance service calls. Document, maintain and follow up with customers after rain events regarding active leaks. Provide professional customer service to property managers, facility managers, building owners, and other commercial customers. Assist with invoice follow-up, bid documentation, proposals, and contractor prequalification materials. Maintain accurate and organized service files and customer records. Answer incoming calls, direct inquiries appropriately, and provide general administrative support to the office and service department. Qualifications Previous administrative, customer service, dispatch, or service-coordination experience preferred. Commercial roofing or construction experience is a plus. Strong organizational and time-management skills. Excellent communication and customer-service skills. Strong attention to detail and follow-through. Ability to manage multiple priorities in a fast-paced environment. Proficiency with email, Microsoft Office, and computer-based work-order systems. Professional, dependable, proactive, and team-oriented.
