About Pacific Pelvic Health Pacific Pelvic Health is a boutique, one-on-one pelvic floor physical therapy practice dedicated to helping women and men overcome pelvic floor dysfunction, pregnancy and postpartum concerns, pelvic pain, bladder and bowel issues, and return to the activities they love. We pride ourselves on creating an exceptional patient experience from the very first phone call. We are looking for someone who is warm, organized, proactive, and genuinely enjoys helping people feel welcomed and cared for. Position Overview As our Front Desk Client Coordinator , you will be the first point of contact for prospective and current patients. You'll help ensure our clinic runs smoothly by managing communication, scheduling, administrative tasks, and supporting both our clients and clinical team. This role is ideal for someone who loves organization, thrives in a fast-paced environment, and enjoys building relationships with people. anya@pacificpelvic.com Responsibilities / Client Communication Answer phone calls, voicemails, texts, and emails professionally and compassionately. Schedule new client evaluations and follow-up appointments. Return client inquiries promptly. Welcome clients and provide an exceptional customer experience. Help educate prospective clients about our services and answer common questions. Scheduling & Office Management Manage the clinic schedule efficiently. Fill cancellations from the waitlist. Confirm appointments. Maintain accurate client records. Assist with onboarding new clients. Administrative Duties Generate receipts and superbills. Process payments. Prepare intake paperwork. Organize clinic documents. Assist with basic bookkeeping and office organization. Coordinate referrals and communication with healthcare providers when appropriate. Marketing & Business Support Assist with light social media or marketing projects. Help prepare educational materials. Support special projects as the clinic continues to grow. We're Looking for Someone Who Is Warm, friendly, and compassionate. Highly organized and detail-oriented. An excellent written and verbal communicator. Comfortable learning new software and technology. Able to multitask while maintaining accuracy. Self-motivated and able to work independently. Professional and dependable. Positive, adaptable, and solution-oriented. Understands the unique needs of individuals navigating complex or sensitive medical conditions and provides compassionate, patient-centered support. Preferred Qualifications (but not required) Previous experience in healthcare, wellness, hospitality, customer service, or administration. Experience with scheduling software or electronic medical records (preferred but not required). Comfortable using Google Workspace, Canva, and Microsoft Office. Experience with social media is a bonus. Compensation & Benefits Starting pay: $21- $24/hour with room for growth annually Approximately 25 hours per week Paid time off (PTO) and unlimited unpaid time off Employer-sponsored health insurance in accordance with Hawaii Prepaid Health Care requirements.
