Job SummaryWe are seeking an organized, welcoming, and detail-oriented Part-Time Office & Cross-Divisional Administrative Assistant to serve as the operational backbone of our central office while providing critical support across all corporate islands and divisions.
In this role, you will manage day-to-day office logistics, handle local clerical tasks, and serve as a central hub for statewide compliance, equipment tracking, and vendor consolidation. Because several responsibilities alleviate administrative burdens across multiple islands and divisions , compensation allocation for this role will be strategically shared across corporate entities. This is a true general administrative and coordination role perfect for someone who enjoys keeping a physical office running smoothly while driving efficiency on a larger corporate scale.
Core Responsibilities:
General Office Administration & Local Reception Front Desk Reception:
Greet visitors with a professional presence, answer phone calls, and direct inquiries to the right team members.
Daily Logistics:
Handle physical mail, monitor general office emails, and manage conference room bookings.
Document Processing:
Scan and email incoming invoices/payables to relevant departments; handle everyday filing and copying.
Office Supplies:
Order office supplies and track expenses using our internal request tracking system.
Compile and maintain a master vendor list servicing all islands and divisions (including yard maintenance, AC, roofing, and generators) to identify cost-saving consolidation opportunities.
Property Maintenance:
Serve as the primary point of contact to track and dispatch external vendors for routine internal/external building care.
Office Equipment:
Monitor physical office equipment (such as coordinating ink/toner refills) and keep equipment lease agreements organized.
Receive local inventory data from all islands and compile it into a centralized asset tracking system by island and division.
Onboarding & Offboarding Gear:
Assist with the basic administrative checkout of company computers/laptops to new hires and collect old or broken gear for replacement.
HR, Compliant Recruitment, & Team Support Compliant Recruitment Posting:
Review and approve all open position descriptions before any island or radio department posts them to ensure compliance with hiring laws and strict alignment with PMG guidelines.
Travel & Events:
Book and track corporate travel by department, and help plan company gatherings and events.
Leadership Support:
Provide general administrative assistance to the leadership team as requested.
Qualifications & Skills Experience:
2+ years of experience in office administration, front-desk reception, or a clerical assistant role.
Compliance & Oversight:
Ability to strictly review documentation and recruitment postings against company guidelines (PMG) and hiring laws.
Technical Skills:
Basic comfort using standard office tools like Microsoft Office 365 or Google Workspace. Experience managing multi-tab sheets or databases for asset tracking is a plus. No advanced IT tech support knowledge is required.
Organization:
Exceptional organizational skills with the ability to confidently juggle localized tasks alongside big-picture, multi-island tracking.
Trustworthiness:
High integrity required for handling sensitive compliance paperwork, processing prize-winner documents, and handling company-wide deposits.
Transportation:
Must have a valid driver's license and reliable transportation to perform routine local errands and banking runs.
