City Clerk Job Summary The City Clerk is a vital administrative professional responsible for managing a variety of municipal functions to support the effective operation of city government. This role involves maintaining official records, preparing and distributing reports, and facilitating communication between city officials and the public. The City Clerk ensures compliance with legal requirements and provides essential support for city council meetings and administrative processes. Proficiency in Microsoft Office and strong organizational skills are essential to succeed in this position. Duties Prepare, record, and maintain official minutes of city council meetings, ensuring accuracy and timely distribution. Create and manage official documents, reports, and correspondence related to municipal operations. Oversee utility billing processes, including water, sewer, and gas services, as well as utility deposits. Handle payroll processing and manage accounts payable and receivable to ensure financial accuracy. Compile and submit annual financial reports, including those related to city finances and gas distribution operations. Assist with administrative tasks such as document filing, data entry, and record keeping to support city functions. Facilitate communication between city officials, departments, and residents to promote transparency and community engagement. Requirements Proven proficiency in Microsoft Office applications (Word, Excel, Outlook) for document creation, data management, and communication. Strong organizational skills with the ability to manage multiple tasks efficiently. Experience or familiarity with utility billing systems and financial reporting is preferred. Excellent written and verbal communication skills for preparing reports, minutes, and correspondence. Attention to detail and accuracy in record keeping and administrative tasks. Ability to work independently while collaborating effectively with city officials and staff. Prior experience in municipal administration or a related field is advantageous but not mandatory.
