Job Description

Are you organized, customer service focused and ready to take on the challenges of our new Administrative Assistant I role in the Student Health and Wellness Center (SHAW)? Then Grinnell College is looking for you. The Administrative Assistant I supports daily operations by completing various front-office and other administrative tasks. You will be managing student traffic flow, facilitating appointments of SHAW leadership, supporting counseling and nursing staff through coordination of day-to-day operations. You may be asked to assess intake needs for appointment scheduling, and utilizing screening tools to help ascertain appointment urgency in consultation with SHAW professionals. The role requires strong attention to detail, confidentiality, adherence to operational standards, excellent customer service, cultural humility, and comfort interacting with students experiencing crisis or emotional dysregulation. Key Responsibilities Support daily front-desk operations, including check-in/out, Appointment scheduling(including Student Drivers), triage protocols Record requests, and maintaining private medical and mental health records Maintain an organized and inviting front desk Organize provider schedules, room assignments, and service workflows Coordinate communication between SHAW providers, campus partners, community providers, and other external partners Maintain confidentiality in accordance with HIPAA and institutional policies.

Requirements:
Minimum Qualifications Associate's degree or equivalent degree preferred with one year of closely related experience. If no degree High School diploma or GED with 3 or more years of professional experience required in a closely related field Valid Drivers License Champions diversity, equity, and inclusion. Maintains highest level of confidentiality with a working knowledge of HIPAA and FERPA Strong command of the Microsoft Office suite applications, Teams, and WebEx. Detailed oriented and well organized. Excellent written and oral communications skills Ability to adapt to changing circumstances. Preferred Qualifications BCLS certification is preferred. Demonstrated ability to manage multiple responsibilities with frequent interruptions Previous healthcare/higher education/non-profit work experience.
