Job Description
Position Summary The Service Advisor is responsible for coordinating and managing the day-to-day activities of the service department within a heavy equipment manufacturing and aftermarket environment focused on the scrap, recycling, and landfill industries. This role serves as the primary point of coordination between customers, technicians, parts, sales, and internal operations to ensure efficient service execution, timely communication, and high equipment uptime. The Service Advisor Lead oversees daily service workflow, prioritizes incoming work, manages customer communication, supports scheduling and quoting activities, and helps ensure the service department operates efficiently and profitably. This role is highly operational and requires strong organization, multitasking, and problem-solving skills in a fast-paced environment where machine downtime directly impacts customer operations. Key Responsibilities Daily Service Department Coordination Manage the daily flow of service work orders from intake through completion Coordinate scheduling of shop and field service technicians based on workload, urgency, and customer needs Prioritize machine breakdowns and emergency service requests to minimize customer downtime Monitor open work orders, parts availability, technician status, and repair progress throughout the day Assist in balancing shop workload and field service capacity Customer Communication & Support Serve as a primary point of contact for customers regarding service requests, repair updates, scheduling, and estimated completion timelines Communicate clearly and professionally with customers experiencing equipment downtime or operational issues Gather machine information, troubleshoot initial service concerns, and create accurate service documentation Follow up on pending quotes, approvals, and completed repairs Support long-term customer relationships through responsive service and consistent communication Work Order & Service Administration Create, review, and manage work orders for accuracy and completeness Ensure labor hours, parts usage, and technician notes are properly documented Coordinate with the parts department to ensure timely availability of required components and wear items Assist with service quoting, repair estimates, and warranty documentation Monitor work-in-process (WIP) and help reduce aging work orders Operational Support Support technician efficiency by ensuring jobs are properly scheduled, documented, and prepared Help identify scheduling conflicts, delays, and operational bottlenecks Coordinate service activities with sales, manufacturing, engineering, and warranty teams when needed Maintain organized service records and ensure ERP/CRM systems are updated accurately Assist with preventive maintenance scheduling and service agreement tracking Aftermarket & Industry Support Support aftermarket growth through proactive follow-up on inspections, wear components, rebuilds, and maintenance recommendations Help identify opportunities for additional service work, parts sales, and equipment support programs Understand common service requirements and operating conditions within: Scrap processing facilities Landfill operations Recycling yards Material handling environments Support customer uptime initiatives by helping reduce repeat failures and repair delays Required Qualifications Education & Experience High school diploma or equivalent required Associate degree or technical education preferred 3-5+ years of experience in heavy equipment service, manufacturing support, or aftermarket operations Experience in scrap, landfill, recycling, construction, or industrial equipment industries preferred Technical & Professional Skills Strong understanding of heavy equipment service operations and repair processes Ability to manage multiple service activities simultaneously in a fast-paced environment Strong organizational and communication skills Experience with service scheduling, work orders, and technician coordination Familiarity with ERP, CRM, or service management systems Ability to read and understand service documentation, parts information, and repair estimates Strong customer service and problem-solving abilities Key Performance Indicators (KPIs) Work order turnaround time Response time to customer requests Technician scheduling efficiency Open work order management Labor recovery support Customer satisfaction and communication responsiveness Parts coordination efficiency Reduction in work order aging and downtime delays Work Environment Combination of office, shop, and field coordination activities Frequent interaction with technicians, customers, and heavy equipment operations Fast-paced environment supporting high-demand scrap and landfill equipment applications Occasional travel to customer sites may be required Preferred Characteristics Organized and detail-oriented Able to work with urgency under pressure Strong communicator and team coordinator Customer-focused mindset Practical understanding of equipment downtime impact in production environments Self-motivated with strong follow-through skills The above is intended to describe the general content of and requirements for the performance of this job.
