Job Description
Administrative Assistant
- Ameriprise Financial Services, LLC.
Administrative Assistant Responsibilities:
- Provides administrative support to ensure efficient office operations.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulation.
- Presents a positive and professional image for the organization.
- Greets Clients for scheduled appointments and provides refreshments as needed.
- Answers phone calls and directs callers to appropriate personnel, signs for incoming packages, and assists clients and other visitors.
- Maintains physical and digital filing systems.
- Manage office mail: Prepare all outgoing mail and process/distribute and log Incoming Mail
- Maintain multiple Office Calendars including scheduling appointments with clients.
- Client Meeting Preparation
- Prepare and compose Client correspondence, reports, forms and other documents
- Uses word processing and presentation software to create and edit documents
- Inputs and updates information in databases and spreadsheets
- Maintain various logs and record keeping for compliance
- Operate and maintains office equipment, including printers, copiers, scanners, and fax machines
- Update, order and organize forms
- Works closely with other office staff and supports other colleagues as needed
- Ensures that deadlines are met and adapts to changing priorities
Work Hours and Benefits:
- Work Week 36 hours
- Monday
- Thursday 8AM
- 5PM (8 hour work day with 1 hour lunch) and Fridays 8AM
- 1:00PM (5 hour day)
- Hourly Salary starting between $22
- $26 per hour based on experience/education

Education, Experience, and Licensing Requirements:
- High School diploma or equivalent, Associate's degree a plus
- Professional demeanor
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Proficient with Microsoft Office and common office equipment
- Certified Administrative Professional (CAP) or Microsoft Office Specialist (MOS) certification a plus
- Basic understanding of clerical procedures and systems such as recordkeeping and filing
- Past administrative experience or tenure in an office setting a plus.
