POSITION SUMMARY
The Administrative Assistant plays a vital role in supporting daily operations by streamlining administrative processes, managing client communications, and ensuring a seamless office workflow. Serving as a central point of contact for clients, this role delivers exceptional service, and supports compliance-driven deadlines with professionalism, efficiency, and discretion.

  • Provide comprehensive administrative support to ensure efficient and compliant office operations
  • Answer incoming calls, schedule meetings, and assist clients with professionalism and discretion
  • Support the growth and development of administrative staff through information sharing, training, and experiential learning opportunities
  • Coordinate, prioritize, and complete multiple projects to ensure timely and successful outcomes
  • Open and close the office daily, ensuring a professional, welcoming and clean environment throughout the day
  • Deliver exceptional in-person and phone-based client service at occasional high volumes
  • Manage special projects to support internal teams and Partners in advancing firm initiatives
  • Contribute to overall team success by performing additional duties and responsibilities as assigned
  • Greet or acknowledge those coming in the door as soon as possible.

QUALIFICATIONS
  • High school diploma or GED required
  • 1-3 years of administrative or office support experience preferred, with client or customer interaction
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
  • Strong organizational, planning, and attention‑to‑detail skills
  • Demonstrated commitment to delivering exceptional client service
  • Ability to manage multiple priorities and projects in a fast‑paced environment
  • Excellent written and verbal communication skills with a professional demeanor
EXPECTED HOURS OF WORK
This Full-Time position is typically expected to work between the hours of 8 am to 5 pm MST, Monday-Friday, with the exception to the commitment outlined below. 42-45 hours per week during Busy Season (January-April) and during the deadline periods in late August, September, and October 32-36 hours per week from May through early August 40 hours per week during November and December

WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and other office equipment.
PHYSICAL DEMANDS
The physical demands described are representative of those required to successfully perform the essential functions of this position. The role is primarily sedentary and requires the ability to sit, stand, walk, talk, and hear regularly, as well as use hands and arms for handling, reaching, and operating office equipment. Occasional filing and office tasks require bending, standing, opening filing cabinets, and lifting or moving files weighing up to 10 pounds frequently and up to 25 pounds occasionally. Specific visual abilities include close and distance vision, color vision, peripheral vision, depth perception, and the ability to focus.
