NeighborWorks Pocatello Job Description TITLE:
Administrative Assistant
RESPONSIBLE TO
: Director of Lending and Counseling
GENERAL DESCRIPTION
: Position provides administrative, clerical and accounting support for NWP programs. Reporting directly to the Director of Lending and Counseling, the Administrative Assistant serves as the front line liaison between the staff and the public. The ability to relate well with a diversity of people is paramount. Major Responsibilities Greet public, including telephone calls, handling initial inquiries and referring to appropriate staff. Pick up mail from Postal Box, sort and distribute. Ensure that all public areas of the office are neat, orderly and secure. Ensure adequate inventory of supplies including flyers and brochures is on hand and that the supply closet is neat and orderly. Ensure office equipment including computer and voice mail systems, fax machine, and copier is in good working order and properly maintained. Maintain administrative files. Ensure that loan payments are received and posted to loan servicing software Ensure that accurate escrow ledgers are maintained for each borrower and that fund payouts are made according to NWP loan and construction policies • Follow NWP collection procedures for delinquent loans (including collection calls, letters, visits and legal counsel) Work closely with Construction Specialist to ensure that home improvement loans are moving from the intake process to project completion in a practical and timely manner and take part in staff rehab collaboration meetings Provide scheduling support for the conference room and NWP staff and prepare monthly "Master Calendar of Committees and Events". Provide faxing, copying, typing, filing and mailing services for staff as required. Coordinate NWP meetings and special events and provide marketing support to as needed. Ensure committee and Board notices, reminders and agendas are distributed in a timely manner. Maintain data bases of customers, donors, partners, and prospects and ensure they are up-to-date and current. Coordinate staff and Board travel arrangements and training registrations as requested. Transcribe minutes for the Board of Directors and Executive Committee meetings. Provide program and staff support as needed and time permits. Prepare check requests and maintain files for paid invoices. Provide back-up to the Accounts Payable Administrator for entering accounts payable information into the accounting software and printing required checks. Provide back-up to the Accounting Supervisor for preparing bank deposits and maintaining record of deposits in files. Receipt and maintain adequate records of client payments on loans or credit reports; tenant payments of monthly rent; and other miscellaneous payments. Other duties as assigned. Qualifications & Requirements Dependable, well-organized, self-starter. Demonstrated ability to relate well with a diversity of people. Experience working with the public and with volunteers. Excellent written and oral communication skills. Flexible and willing to work as part of a team. Ability to work independently with minimal direct supervision. Excellent organizational skills. Knowledge of bookkeeping and basic accounting principles. Prefer experience with Microsoft Word, Excel and accounting software. Hours NWO office hours are 8:00-500 p.m. Monday through Friday. Some Saturdays and evenings may be required for special events. Salary Range $20.00 -$21.50 with benefits Status Full-time, non-exempt.
