Job Summary Under general supervision, provides routine administrative support to the department and back-up support to the Receptionist position as needed. Job Responsibilities
- Provide back-up support to the reception desk during breaks and absences; also provide back-up support to mailroom activities including operation of the postage machine and sorting incoming mail to correct mailboxes.
- Greet and direct visitors and applicants in accordance with facility's security procedures.
- Answer and route incoming telephone calls courteously and professionally; take messages and distribute, as necessary.
- Coordinate candidate interview schedules using Outlook.
- Make candidate travel arrangements using assigned travel agency and coordinate candidate expense reimbursement for approval and re-payment.
- Maintain required levels of office supplies, new hire kits, recruiting kits, benefit materials and others, re-ordering as necessary with approval.
- Maintain filing systems for a variety of departmental processes across all areas; includes creating new files, accurately filing documents for easy retrieval, pulling files as requested, and purging old files according to the company's record retention program as directed.
- Update the organization chart as directed.
- Perform other duties as assigned. Experience & Skills
- Ability to communicate clearly and accurately, both verbally and in writing.
- Ability to use Microsoft Word to create professional documents for internal and external distribution.
- Ability to accurately enter data into Microsoft Excel spreadsheets and specialized software applications used to manage a variety of operational data.
- Ability to maintain confidentiality when working with sensitive information requiring discretion. Education
- High school degree or equivalent reading, writing, communicating and analytical ability.
- Zero to two years of general office experience performing similar responsibilities.
- This role will be located at our Corporate office.
