This vital role combines exceptional customer service, efficient administrative support, and seamless office management to ensure a positive experience for visitors, clients, and team members alike. Your energetic approach and technical proficiency will help foster a professional, organized, and friendly atmosphere that supports our company's mission and daily operations. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with professionalism, directing calls accurately and courteously. Maintain organized front desk areas, including filing, data entry, and managing office supplies. Utilize productivity software such as Microsoft Office (Word, Excel) and QuickBooks for administrative tasks and record keeping. Schedule appointments, manage calendars, and coordinate meetings using calendar management tools. Handle clerical duties including proofreading documents, updating spreadsheets, and processing correspondence. Support office management activities by assisting with technical troubleshooting, office organization, and client communication to enhance overall productivity. Qualifications Proven experience in office administration or front desk roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office Suite, spreadsheets, data entry, and general technical skills. Familiarity with QuickBooks or similar accounting software is a plus. Bilingual abilities are highly desirable to serve diverse client needs effectively. Exceptional organizational skills with keen attention to detail and time management capabilities. Strong phone etiquette skills with experience managing multi-line phone systems and providing customer support. Previous personal assistant or office management experience is advantageous for success in this role.
