Job Description
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will assist in ensuring efficient operation of the office and provide exceptional support to our staff and customers. Your energetic approach and attention to detail will help foster an efficient welcoming environment. Clerical Perform front desk duties, including answering and directing telephone calls using professional phone etiquette, greeting visitors, and receiving deliveries. Establishes, develops, maintains and updates filing system for the organization. Retrieves information from files when needed. Act as first point of contact for customers and maintain rapport by examining complaints; identifying solutions; suggesting improved methods and techniques; recommending system improvements and escalating matters when necessary. Assisting with current licensure issues and general paperwork. Provide general administrative and clerical support, including word processing, data entry, scanning, copying, faxing, mailing, and shipping. Maintain electronic and hard copy filing system Assist in resolving any administrative problems Perform company-related errands, including trips to the post office as needed Prepare and modify documents including correspondence, reports, drafts, memos, spreadsheets and emails Maintain office supplies and inventory, including monitoring supply levels, coordinating orders, and organizing supplies. Schedules and organizes complex activities such as meetings, travel, conferences and department activities. Organizational Support Assists the Operations department by reviewing and approving incoming paperwork. Working with the State of Illinois and local municipalities on general policies, procedures, and laws. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects which may include but is not limited to: planning, disseminating information, and coordinating. Requirements Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management. Excellent written and verbal communication skills (bilingual abilities a plus). Strong computer literacy with the ability to learn new software quickly; familiarity with multi-line phone systems is preferred. Demonstrated ability to manage time efficiently, prioritize tasks effectively, and handle multiple responsibilities simultaneously. Previous Administrative assistant or front desk experience that showcases professionalism, phone etiquette, and customer service excellence.
Additional Qualifications:
