Job Description

Job Summary:
The Guest Services Representative is responsible for greeting and assisting guests at the Community Arts Center, answering incoming phone calls, and inputting of registration and participant and program data into SmartRec. The part-time staff reports to the Superintendent of Recreation. Hours /
Schedule:
Tuesday through Thursday from 3 - 8 pm and Saturdays from 9 am - 1 pm. Additional hours on performance nights assisting with box office sales.
Essential Functions:
1. Answer incoming phone calls, respond to inquiries, and direct calls to the appropriate staff as needed. 2. Provide Park District information and assist with inquiries both over the phone and at the front desk. 3. Enter registration and participant information into systems, maintain Google Docs records, and update program data in SmartRec. 4. Collaborate with recreation staff to prepare program mailings and assist with projects related to programming. 5. Sort, date, and distribute incoming mail. 6. Process registrations in SmartRec and handle ticket sales through Arts People. 7. Maintain and organize filing systems, ensuring all files remain accurate and up to date. 8. Assist staff with the operation of office equipment, including copiers, duplicators, postage machines, and other office machines as needed. 9. Attend scheduled safety programs and seminars; promptly report accidents or hazardous conditions to a supervisor. 10. Assist with the coordination and execution of special events and programs as requested. 11. Makes recommendations and works to ensure that the Park District is in compliance with all ADA guidelines for registration, programs and facilities. 12. Perform other duties as assigned.
Education and Experience:
• High School Graduate required. • Two years of customer service experience required.
Hourly Wage:
$17.50 per hour Benefits Employees who work 8 or more hours per week receive a complimentary Buffalo Grove Fitness Center membership, as well as discounts on Park District programs and activities.
