Available during tax season, January through April About the Opportunity Scheffel Boyle is looking for an eager, dependable, and detail-oriented Administrative Assistant to join our Alton office. This full-time role is a great opportunity for someone who enjoys being organized, supporting others, providing excellent client service, and taking initiative in a professional office environment. The ideal candidate is a self-starter who can manage multiple priorities, communicate professionally, maintain confidentiality, and bring a positive, team-focused attitude to each day. Strong Microsoft Office experience is a must, especially with Word, Excel, and Outlook. In this role, you will provide administrative support to Scheffel Boyle clients, partners, and professional staff while interacting with internal team members and external clients at all levels. The position requires discretion, sound judgment, strong organization, and the ability to prioritize work effectively in a fast-paced environment. Key Responsibilities As an Administrative Assistant, you will help keep the office running smoothly while supporting client service and internal operations.

Responsibilities include:

Answer phones and greet visitors in a professional, welcoming manner. Schedule appointments, maintain calendars, and coordinate staff meetings. Sort and distribute incoming mail and assist with outgoing correspondence. Prepare, write, edit, and proofread communications such as memos, emails, invoices, reports, letters, and instructional documents. Create and maintain organized filing systems, both electronic and physical. Assist with basic account management and bookkeeping tasks. Assemble tax returns and financial statements accurately and efficiently. Work independently while also contributing as part of a collaborative administrative team. Handle confidential information with professionalism and discretion. Complete other administrative duties and special projects as assigned. What We're Looking For We are seeking someone who is organized, proactive, and takes pride in accuracy and follow-through. The right person for this role will be comfortable juggling multiple tasks, meeting deadlines, and providing excellent service to both clients and coworkers. Qualifications High school diploma required; additional education is a plus. Two or more years of administrative experience supporting professionals is preferred. Strong knowledge of Microsoft Office, including Word, Excel, and Outlook. Excellent oral and written communication skills, including professional phone etiquette. Highly organized, self-motivated, and able to prioritize tasks with a sense of urgency. Strong attention to detail with the ability to proofread your own work and others' work carefully. Ability to multitask, meet deadlines, and manage time effectively. Excellent interpersonal skills and the ability to handle confidential information discreetly. Demonstrates tact, professionalism, poise, and diplomacy in all interactions. Strong initiative and willingness to work as part of an administrative team.
