Job Description

Overview:
The Administrative Assistant provides essential support to Directors and Project Managers in the department. Key responsibilities for this role will include control of project documentation, vendor/contractor correspondence, managing calendars, meeting preparation and scheduling, along with a variety of administrative duties within the department to ensure efficient and smooth operations. Looking for an individual that is detailed oriented, highly organized and a self-starter.

Supervisory Responsibilities:
This role has no direct reports.
Various Duties/Responsibilities:
Maintain various department registrations via online reporting portals. Prepare and edit internal department documents; maintain spreadsheets Maintain contractor portals as needed per project, download/upload of project documents, request, compile and verify data for required reporting. Prepare and assist in coordinating presentations for project interviews. Assist Project Mangers with project setup, maintain electronic job file folders, from project kickoff to project completion. Assist Directors and Project Managers with a variety of daily tasks and duties. Main point of contact between internal departments, such as accounting and HR to external contacts, union halls, contractors and vendors. Copy and send documentation via fax, email, mail, and express mail. Perform other routine office administrative tasks as assigned. Cross-train in all facets of the Department, preparing to fill in for anyone absent and grow in responsibility and scope over time. The person in this role will uphold the culture of J.F. Electric, including relationship building with customers as well as general behavior on J.F. Electric or client premises or at J.F. Electric sponsored events.
Requirements/Qualifications:
A high school diploma is required. An associate's or bachelor's degree in business administration or a related field is preferred. Two (2) years' administrative/office experience required; experience in the construction industry preferred. Proficiency in MS Office and other office productivity tools, with an aptitude to learn new software and systems. Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills. Physical Requirements:
General office duties require prolonged periods of sitting. Ability to operate standard office equipment. May involve lifting of files, opening filing cabinets, and bending or standing as necessary. The physical requirements may vary depending on the industry and the specific nature of the work environment. The person in this role should be capable of meeting the physical demands associated with the industry in which they operate.
