About the Role To Apply for this Job Click Here We are seeking a friendly, organized, and proactive Office Coordinator to support daily office operations and serve as a key resource for employees, visitors, vendors, and internal departments. This role is responsible for front desk management, office administration, inventory oversight, vendor coordination, and HR support activities.
Key Responsibilities:
Serve as the first point of contact for visitors, employees, vendors, and delivery personnel, providing a welcoming and professional experience. Answer and direct incoming phone calls while responding to general office inquiries. Manage incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and follow-up as needed. Maintain the appearance and organization of the lobby, reception area, kitchen, and common spaces. Order, stock, and monitor office supplies, cleaning products, kitchen items, and other workplace necessities. Coordinate with vendors and service providers, serving as the primary point of contact for office-related needs. Track and maintain inventory levels across multiple office and storage locations. Conduct price comparisons and assist with purchasing decisions to maximize value and cost savings. Support Human Resources with onboarding activities, interview scheduling, reference checks, and employee communications. Assist with HR initiatives including open enrollment, employee handbook updates, and ESL program coordination. Organize and distribute employee paychecks and assist with various administrative HR functions. Support office events, employee appreciation activities, meetings, and company-wide initiatives. Assist with check deposits, office correspondence, and other administrative projects as assigned. Maintain accurate records, documentation, and supply inventories while ensuring attention to detail. Collaborate with cross-functional teams to support daily operations and enhance workplace efficiency. Proactively identify office needs and resolve issues to ensure a positive employee and visitor experience. Provide general administrative support to leadership, HR, and other departments as needed.
Qualifications:
Minimum of 3 years of experience in office coordination, administrative support, office management, or a related role. Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel. Strong organizational and multitasking skills with the ability to manage competing priorities. Excellent interpersonal skills and a customer-service-oriented mindset. Ability to work independently while supporting multiple departments in a fast-paced environment.
