About the Position Gold Coast Produce brings fresh, high-quality produce to consumers through strong partnerships with both our suppliers and our customers across a wide range of sales channels. As an Administrative Assistant, you'll work closely with our Sales Representatives and cross-functional teams to manage the day-to-day details that keep those relationships running smoothly — and that keep customers happy. Administrative Assistants are essential to our success. You'll operate in a fast-paced environment where priorities can shift quickly based on supply and demand, so success in this role means staying organized, balancing shifting priorities, and keeping a sharp eye for detail even as the day's tasks change. Responsibilities
  • Accurately enter and manage sales orders in company platforms, following direction from Sales Representatives/leadership on loading location, price, and customer strategy; follow up on orders and notify Sales Representatives of changes and confirmations.
  • Coordinate daily/weekly order management and adjust orders based on supply availability or customer requests.
  • Serve as a phone/email point of contact for inquiries on order status, volume, shipment location/ETAs, and delivery/loading changes, including diversions to a different location.
  • Communicate and coordinate with cross-functional teams and partners to support and improve processes.
  • Regularly review warehouse and sheds in company platform to update addresses, phone numbers, and hours to ensure all information is up to date.
  • Compile and research reports for Sales Reps and leadership.
  • Track shipments from pickup to dropoff ensuring timely deliveries and temperature guidelines.
  • Follow company policies for compiling information for flagging orders
  • Supports food safety with organic certification preparation, including requesting food safety and organic documents from vendors.
  • Represent the company in an ethical, professional manner in all interactions with co-workers, suppliers, customers, and the business community.
  • Provide office administrative support.
  • Perform other duties as needed. Candidate Profile
  • Bachelor's degree preferred.
  • Ability to learn and use internal systems and customer order platforms.
  • Proficiency with Microsoft Office (Outlook, Word, Excel), including basic-intermediate Excel skills such as formatting, sorting, filtering, formulas, and pivot tables for reporting.
  • Strong verbal and written communication skills, with the ability to communicate needs and requests clearly and with context; solid interpersonal skills and phone etiquette.
  • Strong organizational skills and excellent attention to detail.
  • Customer service mindset —patience, adaptability, and effective listening.
  • Experience in B2B sales, customer service; knowledge of the produce industry a plus.
  • Comfortable working in a fast-paced environment with shifting priorities, able to execute on direction given.
  • Ability to identify and communicate problems as they arise and anticipate downstream issues from actions taken.
