Job Description
About the Position We are seeking a dependable, organized, and personable Part-Time Administrative & Operations Support Assistant to join our law firm. This is a varied support position combining front office/client service responsibilities with administrative and routine financial support. The ideal candidate enjoys working with people, is comfortable handling detailed administrative tasks, and takes pride in being someone the team can rely on. What You'll Do
- Answer and professionally route incoming calls
- Greet clients and visitors and help maintain a welcoming front office
- Receive, scan, and distribute mail
- Assist with opening and maintaining client matters
- Process client payments and prepare bank deposits
- Provide routine billing, accounts receivable, and accounts payable support
- Assist with client account follow-up as needed
- Help organize financial and administrative records
- Track, order, and maintain office supplies
- Provide general administrative and operational support to the Firm Administrator and firm
- Learn additional office and financial processes over time to provide backup support when needed Training will be provided on firm-specific procedures and systems. Responsibilities will be introduced gradually based on experience and proficiency. Qualifications
- Prior administrative or professional office support experience
- Experience with accounts receivable, accounts payable, billing, bookkeeping support, or similar financial administrative functions
- Demonstrated client/customer service skills with a professional, service-oriented approach
- Strong verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities and follow tasks through to completion
- Comfortable working with numbers and financial information
- Ability to handle confidential and sensitive information with discretion
- Professional demeanor and sound judgment
- Comfortable learning new technology, systems, and processes
- Proficiency with Microsoft Office and standard office technology
- Positive, proactive, and team-oriented approach Preferred Experience
- Prior law firm or professional services experience
- Experience with legal practice management or billing software
- Centerbase experience is a plus Schedule & Compensation
- Approximately 20-24 hours per week
- $23-$25 per hour, depending on experience and qualifications
