Job Description:
Would you be excited to be an important part of and organization where you are keeping an office running smoothly by providing strong administrative support? Looking for an opportunity that offers real growth in the role? We're looking for a warm, organized, and dependable Administrative Assistant to support multiple partners and our Firm Administrator. You'll be helping manage client documentation, and stepping in to assist with front desk coverage when needed.
What You'll Do:
Support multiple partners and the Firm Administrator with daily administrative needs. Manage client documents, tax materials, and records with accuracy and timeliness. Provide backup front desk support, including answering phones, greeting visitors, and helping create a welcoming office environment. Prepare correspondence, reports, invoices, and other business documents. Coordinate mailings, shipments, conference room setup, and general office support tasks. Assist with tax return processing, e-filing support, and other firm projects as needed.
What We're Looking For:
A friendly, professional presence and a genuine desire to help both clients and team members feel supported. Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment. Excellent attention to detail and a commitment to producing accurate, polished work. Clear written and verbal communication skills. Confidence using office technology and learning firm systems quickly. The ability to work independently, stay flexible, and collaborate well with others. Prior administrative, office support, or client service experience is preferred.
Work Environment and Role Expectations:
Our tax season typically begins in the third week of January and continues through the April tax deadline. Because this is a seasonal peak period, overtime may be required based on workload. Beginning the first week of March, Saturdays will include a minimum of six working hours.
