Job Description

Office Assistant / Service Coordinator - Diesel & Fire Apparatus We are seeking a reliable and detail-oriented Office Assistant / Service Coordinator to support daily operations in our diesel and fire apparatus service facility . This role plays a key part in keeping the shop organized and running efficiently, with responsibilities including warranty processing, inventory management, organizing jobs in Fullbay, and assisting with general office functions . The ideal candidate is dependable, highly organized, and able to work in a fast-paced environment while supporting both office staff and technicians. Reliability and the ability to work until 5:00 PM daily are required. Key Responsibilities Assist with daily office operations and administrative support Process and manage warranty claims , ensuring accuracy and timely submission Maintain and track inventory , including parts ordering and stock organization Create, update, and organize work orders and job schedules in Fullbay Perform data entry and general office tasks Assist with accounts receivable (A/R) and accounts payable (A/P) using QuickBooks Coordinate with technicians and management to ensure jobs are properly documented and completed Answer phones, respond to emails, and provide general customer support Maintain accurate records with strong attention to detail Qualifications Proficiency in QuickBooks required Fullbay experience a plus Previous experience in automotive or diesel environments required Experience working in a small business setting preferred Experience with warranty claims processing required or strongly preferred Strong organizational and multitasking skills High level of accuracy and accountability Strong communication and customer service skills What We're Looking For A dependable and punctual team member Strong attention to detail and ability to stay organized Ability to manage multiple priorities in a fast-paced shop environment
Pay:
$21.00 - $27.00 per hour
