Overview We are seeking a dynamic and highly organized Secretary to join our team and support our daily operations with professionalism and enthusiasm. This vital role involves managing administrative tasks, coordinating communication, and ensuring the smooth functioning of our office environment. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for delivering outstanding customer service. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately Manage multi-line phone systems, answer inquiries, and route calls efficiently using professional phone etiquette Handle scheduling, calendar management, and appointment setting for staff and executives Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools Perform clerical duties such as photocopying, scanning, mailing, and organizing files to support office operations Assist with bookkeeping tasks including basic QuickBooks data entry and expense tracking Provide excellent customer support by addressing inquiries promptly and professionally in person or via phone or email Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Strong organizational skills with the ability to prioritize tasks effectively Excellent typing speed and accuracy for data entry and document preparation Bilingual abilities are highly valued to serve diverse client needs effectively Previous office management or administrative experience is preferred Knowledge of office equipment such as multi-line phones, fax machines, and printers Exceptional phone etiquette and customer service skills to create a welcoming environment Experience with medical or dental receptionist duties is a plus but not required Familiarity with bookkeeping software like QuickBooks for basic financial tasks Strong time management skills to handle multiple responsibilities efficiently Join us as a Secretary to be the heartbeat of our office—bringing energy, organization, and professionalism every day!
