About The Company:

Our client is a growing healthcare organization with a collaborative and fast-paced corporate environment. This is a great opportunity to join a professional administrative team and gain exposure to senior leadership within a highly visible role. Our client is seeking a polished and highly organized Senior Administrative Assistant to provide administrative support to members of the executive leadership team. This person will work closely with a team of Executive Assistants and help manage busy executive calendars, extensive travel arrangements, expenses, and meeting logistics. The ideal candidate is someone who remains calm under pressure, can quickly adapt when priorities shift, and takes pride in being dependable and proactive. This role is best suited for someone who enjoys staying busy, asking thoughtful questions, and finding solutions in a fast-moving environment.

Key Responsibilities:

Manage and coordinate complex executive calendars, including scheduling, rescheduling, and prioritizing competing requests. Arrange domestic and international business travel, including flights, hotels, transportation, and detailed itineraries. Process and reconcile executive expense reports and related financial documentation using Concur. Partner with other Executive Assistants to coordinate schedules, travel, meetings, and administrative priorities. Assist with planning executive meetings, leadership gatherings, and quarterly business reviews. Coordinate meeting logistics such as conference rooms, catering, printed materials, technology, and attendee information. Serve as a professional and responsive point of contact for internal and external stakeholders. Handle sensitive and confidential information with sound judgment and discretion. Monitor executive communications and assist with follow-up as needed. Provide additional administrative and project support to the executive support team as priorities arise.

Qualifications:

4+ years of experience providing high-level administrative or executive support. Experience supporting VP, SVP, C-Suite, or other senior-level executives strongly preferred. Previous experience in healthcare is not required. Bachelor's degree preferred but not required. Strong proficiency with Microsoft Office, particularly Outlook and PowerPoint. Experience with Concur is highly preferred. Excellent organizational and time-management skills. Ability to manage multiple priorities and shifting deadlines without becoming overwhelmed. Strong communication skills and professional presence. Demonstrated ability to maintain confidentiality and exercise discretion. Reliable, positive, and solutions-oriented approach to work.
