Job Description

The Village of Richmond is seeking a dependable, organized, and service-minded Administrative Clerk to assist residents, businesses, and visitors at Village Hall. This position supports daily office operations and provides clerical assistance to the Building and Zoning Department, Finance Department, and Village Clerk. As part of a small team, the Administrative Clerk will also work with Public Works, Police, and other Village departments. This is an opportunity to learn how local government works, develop new skills, and help serve the community in many different ways. We want every person who contacts or visits Village Hall to feel welcomed, heard, and genuinely helped. The successful candidate will take ownership of each interaction, look for thoughtful ways to make Village services easier to navigate, and help create an excellent experience even when the answer requires follow-up or a request cannot be approved.
Responsibilities include:
Welcome visitors; answer calls and emails; listen carefully to questions and concerns; and help people reach the right person or next step. Provide patient, courteous service when explaining Village processes, following up on requests, and helping residents and businesses complete routine transactions. Receive, log, and route building permit, zoning, business registration, and other Village applications. Assist applicants with submission requirements and track paperwork through established review processes. Help schedule inspections and maintain permit, licensing, and departmental records. Accept and record utility payments, permit fees, and other payments. Assist with data entry, billing inquiries, and routine finance records. Assist the Village Clerk with meeting agendas and packets, notices, minutes, ordinances, resolutions, and records. Help prepare and schedule Village social media posts and update website content using WordPress, subject to staff review and approval. Use basic workflow software to create online forms and help process applications, permits, service requests, and other Village submissions. Prepare correspondence, maintain electronic and paper files, scan documents, and provide general administrative support across Village departments.
Qualifications:
Strong customer service, communication, organization, and attention to detail are essential. We are looking for someone who treats every interaction as an opportunity to make a positive impression, remains helpful under pressure, and follows through on commitments. Applicants should be comfortable learning new software and have experience with Microsoft Office or similar programs. Prior office, customer service, cashiering, or bookkeeping experience is preferred. Experience with municipal government, WordPress, social media, online forms, or workflow software is helpful but is not required.
Pay:
$22.00 - $27.00 per hour Expected hours: 16.0 - 32.0 per week
