Job Description

A General Office Clerk provides essential administrative and clerical support to ensure the smooth operation of an office. Their duties encompass a wide range of tasks, including answering phones, managing correspondence, scheduling appointments, maintaining records, and data entry. They are vital for the overall efficiency and productivity of an organization.
Key Responsibilities:
Processing New account information: Checking for appropriate signatures and documents in both new member/membership accounts. Identify errors, missing documentation, policy exceptions, and potential risk concerns. Document audit findings and communicate exceptions to appropriate staff and management. Experience or working knowledge of trust, estate, and business entity accounts, including account ownership, documentation, authorized signers, and applicable account-opening requirements, would be beneficial. Maintain confidentiality of member information and handle sensitive financial information appropriately. Enforce strict adherence to establish security procedures.
Maintaining records:
Filing documents, updating databases, and ensuring accurate record-keeping, both physically and electronically. File all signature cards in numeric order, file vehicle insurance for current loans.
Data entry and file maintenance:
Inputting information into computer systems and databases, ensuring accuracy and completeness to ensure up to date member files and records. Assist members and loan staff in filing debt protection, Gap and Warranty claims. File and follow up on vehicle loan titles to ensure liens are perfected correctly on collateral. Collect and pay real estate property taxes.
Preparing documents:
Typing, formatting, and proofreading memos, reports, and other office documents.
Providing general information:
Assisting staff, clients, or the public with inquiries and providing general information about the organization.
Audit review:
Ensure accurate processing of loans by making sure that each one is properly documented, closed, disbursed, coordinated, and filed according to policy. Notify auto dealerships of any missing paperwork.
Skills and Qualifications:
Strong organizational and time management skills: Essential for juggling multiple tasks and deadlines.
Excellent communication skills:
Both written and verbal, for interacting with colleagues, clients, and the public. Proficiency in
Microsoft Office Suite:
Including Word, Excel, and Outlook.
Attention to detail:
For accurate data entry, record-keeping, and document preparation. Ability to work independently and as part of a team: Adapting to the needs of the office and collaborating with others.
Customer service skills:
For interacting with clients and providing positive experience.
High school diploma or equivalent:
May be the minimum educational requirement, but further training can be beneficial.
Location:
Will be in person at our Rock Island or Moline branch.
Benefits:
Starting pay range $16.50 to $19.00 depending on experience Paid vacation Full benefits including 401k and company pension
