Immediate opening Position Overview Faith Janitorial Corporation is seeking a friendly, dependable, and highly organized Part-Time Front Office Administrative Assistant for our Rockford service location. This position supports management and assists with the company's daily front-office operations. The successful candidate must be comfortable working independently, interacting professionally with customers and employees, and completing assigned responsibilities with limited day-to-day supervision. We are looking for someone who can follow established procedures, manage multiple priorities, maintain accurate records, and contribute to a professional and welcoming office environment. Work Schedule The initial part-time schedule will be one of the following: Monday through Friday, 9:00 a.m.-1:00 p.m.; or Monday through Friday, 1:00 p.m.-5:00 p.m. During the first 90 days of employment, the employee must be flexible and available to work any hours between 9:00 a.m. and 5:00 p.m., Monday through Friday, as training and office needs require. After successful completion of the 90-day introductory period, the regular schedule is expected to be Monday through Friday, 9:00 a.m.-3:00 p.m. The employee must remain available to work until 5:00 p.m. occasionally when additional coverage or business needs arise. Primary Responsibilities Duties may include, but are not limited to: Supporting daily front-office operations Answering incoming telephone calls professionally Taking complete and accurate messages Greeting and assisting visitors, customers, employees, vendors, and applicants Monitoring and responding to routine emails and office communications Filing, scanning, copying, printing, typing, and entering data Creating, organizing, and maintaining paper and electronic records Scheduling appointments, interviews, estimates, and other company activities Maintaining calendars and communicating schedule updates Receiving and reviewing employment applications Assisting management with applicant interviews, reference checks, and employment-screening tasks Preparing professional business letters, emails, forms, reports, and other documents Performing light bookkeeping and assisting with basic financial recordkeeping Entering and organizing invoices, bills, payments, and related information Providing administrative and secretarial support to company managers Organizing office supplies and notifying management when items need to be ordered Maintaining the confidentiality of company, customer, employee, applicant, and financial information Running occasional local business errands Keeping the front office, reception area, and shared workspaces clean, organized, and presentable Learning and following company policies, filing systems, communication procedures, and recordkeeping requirements Completing other reasonable administrative and general office duties as assigned Required Qualifications Applicants must: Have strong organizational and multitasking skills Be detail-oriented and committed to accuracy Be dependable, punctual, and able to maintain regular attendance Communicate in a friendly, courteous, and professional manner Use appropriate grammar, spelling, punctuation, and business-writing practices Be able to prepare professional business correspondence and forms Follow written and verbal instructions accurately Complete assigned tasks without continuous supervision Work effectively both independently and as part of a team Be comfortable working alone in an office environment Manage time effectively and complete work by established deadlines Maintain confidentiality and use discretion when handling sensitive information Accept direction, corrections, and additional training professionally Be comfortable communicating with customers, employees, applicants, vendors, and management Be familiar with computers, smartphones, tablets, mobile applications, email, and internet-based office systems Present a neat and professional appearance appropriate for a front-office setting Have reliable transportation for attendance and occasional local errands Preferred Experience Previous experience in one or more of the following areas is preferred: Administrative assistance Secretarial or clerical work Front-office or reception work Bookkeeping or financial recordkeeping Microsoft Office, including Word, Excel, and Outlook QuickBooks Google Workspace, including Gmail, Docs, Sheets, and Calendar Appointment scheduling or calendar management Customer service Employment applications, interviewing, or applicant screening Business letter, form, or report preparation Electronic and paper filing systems Prior office experience is preferred; however, candidates with strong administrative skills, professionalism, and the ability to learn established procedures may also be considered.
