Responsibilities Greet visitors, answer multi-line phone systems, and direct calls with professional phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and presentations Assist with calendar management, appointment scheduling, and time management for staff members Support office management tasks such as supply inventory, mail handling, and basic bookkeeping using QuickBooks or similar software Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks efficiently Bilingual abilities are highly desirable to serve diverse clients and staff effectively Previous office experience or clerical experience demonstrating familiarity with administrative procedures Knowledge of multi-line phone systems and phone etiquette to handle high call volumes gracefully Experience with data entry, filing systems, proofreading documents, and record keeping Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows Strong time management skills to juggle multiple responsibilities seamlessly Customer service orientation with a friendly demeanor and problem-solving skills Join us in creating a welcoming office environment where efficiency meets exceptional service!
