Introduction:
Columbus Parks and Recreation works to enhance our community's quality of life by maintaining our parks, trails, and green spaces. Currently, Columbus Parks and Recreation is growing and managing over 1,000 acres of park land, 24 parks, and 27 miles of trails to help attract tourism and new businesses, provide welcome spaces for community members to gather, and create safe places for our community members to play and be healthy. As a member of the Parks and Recreation team, you will be vital in promoting these amenities to all community members. Summary of Functional Responsibilities:
Provides administrative, customer service, financial, and operational support for the day-to-day operations of the Commons, including facility rentals, public programming, communications, and special projects. Specific Duties of the
Position:
May occasionally be back up to answering phones at other Parks and Recreation facilities if needed Serve as point of contact for visitors, customers, vendors, and the public by responding to in-person, telephone, and email inquiries and providing information regarding facility rentals, programs, and facility operations Support facility rentals by conducting tours, preparing event floor plans, coordinating with customers and internal staff, and processing reservations and related documentation Prepare correspondence, reports, and other administrative documents; maintain accurate records, files, calendars, and facility information Create and distribute recurring event calendars to tenants and community partners Serve as the recording secretary for the Commons Board meetings Assist with special projects and perform other related duties as needed Assist the Commons team with the planning and implementation of public programs, community events, and seasonal activities, including program setup and participant support Develop activities, displays, passive programming, and children's activities in support of departmental programs and initiatives Create routine promotional and informational materials for the Commons programs and departmental initiatives Process payments, receipts, deposits, refunds, and related financial transactions using RecTrac and maintain associated records and documentation Provide backup financial support for Parks and Recreation at NexusPark during staff absences, including receipt reconciliation, transaction verification, and financial processing Prepare and distribute invoices for facility rentals, outstanding rental balances, and tenant utility charges, including calculating monthly utility charges from meter readings and billing records All other duties as assigned
Position Requirements:
Valid Indiana Driver's license with an acceptable driving record Successful completion of a criminal background check and pre-employment drug screening in accordance with the City of Columbus policy Ability to work a flexible schedule, including occasional evenings, weekends, and extended hours over 40 hours/week as needed to support programs, facility rentals, and special events
Education and Experience:
High School diploma or equivalent required Two years of administrative, customer service, or office support experience preferably in a public-facing environment Strong written and verbal communication skills Proficiency with Microsoft Office and the ability to learn department software applications, including
RecTrac and Munis Judgment:
Work is somewhat difficult and complex and is performed with direction as needed Latitude granted the incumbent for exercise of independent judgment

Establish and maintain effective working relationships with City staff, community partners, and citizens Respond professionally to requests for information, customer concerns, and routine issues while maintaining a high level of customer service
Working Conditions:
Ordinary office working conditions Must reside in Bartholomew County or adjoining county within six (6) months of employment. This position is Safety-Sensitive and is subject to the City's Drug and Alcohol-Free Workplace Program which includes: pre-employment testing, random testing, post-accident testing, reasonable suspicion testing, return-to-duty testing, and follow-up testing, and annual BMV checks for all drivers. $33,878.00 - $46,514.00 per month
