This position is a crucial part of the administration team. Under general supervision of the Accounting & HR Manager the Office Coordinator shall: 1. Be familiar with all UMYH's administrative policies and procedures. 2. Answer the phone, direct calls to the proper individual, and take messages. 3. Copy, scan, and fax documents, letters, reports, etc., as needed and keep copies of frequently used forms in supply 4. Collect and distribute incoming mail and process outgoing mail. 5. Order office supplies, cleaning, and copy machine supplies for the admin office. 6. Assist all departments on an as needed basis. 7. Enter and maintain accurate IARCA data for the residential programs. 8. Enter data and submit billing claims to DCS and the School Nutrition Program by the 10th of every month. 9. Request and secure additional service units, as needed, for referrals to the Truancy and Day Reporting programs. 10. Determine reason for DCS denial of claims to rebill and obtain payment for services. 11. Audit all Residential and Day Reporting files prior to the 15th of each month to ensure that all required documentation is up to date. 12. Send a Day Reporting census every day to Vanderburgh Juvenile Probation. 13. Send a Residential census every Monday, Wednesday, and Friday to the Vanderburgh County Court. 14. Coordinate with the Executive Director regarding audits and license renewals. 15. Direct certify school lunch applications within SNP. 16. Record and maintain accurate meal counts for the Day Reporting program. Complete and submit the monthly SNP claim form and the annual Verification Summary Report through the SNP website. 17. Make intake packets and IARCA packets for the Residential Program. 18. Prepare initial training packets, employee handbooks, and set up mailboxes for new staff members. 19. Make new resident/student files for each program within 1 business day of the youth's placement into the program. 20. Keep Resident and Day Reporting student list up to date for each of the programs. 21. Prepare each discharged resident or student's closed file for program directors to complete their discharge summary. 22. Order meals for board meetings and retreats. Working Conditions 1. Work is performed primarily in a standard office environment with typical indoor working conditions. 2. Frequent interaction with youth, residents who may be disoriented or agitated, and family members who may require calm, professional support.
Job Requirements:
All UMYH staff must be 21+ with a valid driver's license and able to pass standard background, DCS registry, plus physical/ TB Test and drug screening. Prior experience working in an office environment is preferred. High School Diploma or Equivalency requiredCritical Skills/Expertise:
Ability to answer the phone in a clear and pleasant voice that can be easily understood. Computer proficiency and the ability to learn new software. Capable of working independently and as a team member. Adequate walking, sitting, and standing skills. Good organizational skills and ability to prioritize tasks so that all deadlines are met. Communication skills are necessary to work with various populations including at-risk youth, parents, and other professionals. Ability to handle frustration, frequent change of plans, prioritization of assignments, and coordination with other employees.
