Job Description
Job Overview We are seeking a dependable and detail-oriented Administrative Assistant to join our team. The ideal candidate will support daily office operations by managing utility accounts and transfers, annual rental registrations, property tax payments, client insurance tracking, purchase order data entry, mail, scanning, filing, and administrative records. This position may be structured as either part-time or full-time. The position may also require appearances at municipal or county offices to represent Property Boss in routine administrative matters. A company vehicle will be available when performing approved off-site duties. Since our inception, Property Boss has taken a modern approach to property management by combining state-of-the-art web-based systems with personal care and consideration for our tenants and highly valued clients. Property Boss has grown to become one of the largest family-owned and operated property management companies in Northwest Indiana. Responsibilities Coordinate utility activations, transfers, and terminations for managed properties. Manage utility accounts and communicate with providers regarding billing, service interruptions, account updates, and other issues. Complete and track annual rental registrations with the appropriate municipalities. Process property tax payments accurately and maintain supporting documentation. Track client insurance policies, renewal dates, coverage documents, and outstanding requirements. Follow up with clients and insurance providers regarding expiring or missing policy documentation. Enter purchasing information and maintain accurate purchase order records. Receive, sort, distribute, and process incoming and outgoing mail. Scan, organize, file, and maintain company documents and records. Assist with general data entry and administrative duties as assigned. Communicate professionally with utility providers, vendors, municipalities, county offices, insurance providers, tenants, property owners, and team members. Appear at municipal or county offices when needed to represent Property Boss in routine administrative matters. Track deadlines and follow up on pending utility, registration, property tax, insurance, purchasing, and municipal matters. Maintain confidentiality when handling company, client, property, and tenant information. Perform approved off-site duties using an available company vehicle. Qualifications Previous administrative, property management, utility coordination, or office experience is preferred. Strong organizational skills and attention to detail. Proficiency with email, document scanning, electronic filing, and data-entry systems. Experience with Buildium or similar property management software is a plus. Ability to manage multiple responsibilities, track recurring deadlines, and work with limited supervision. Strong written and verbal communication skills. Professional demeanor when representing Property Boss. Dependable, proactive, and capable of following tasks through completion. A valid driver's license and acceptable driving record are required for use of the company vehicle. Position and Benefits Part-time or full-time position. Sick leave. Paid time off. Vacation time.
