Job Description

The Secretary/Bookkeeper provides essential secretarial support to the Youth Center, with a focus on financial processing, record-keeping, and clerical operations. This position is responsible for managing accounts receivable & accounts payable, assist in processing bi-weekly payroll, maintaining accurate ledgers, coordinating purchasing and commissary systems. This role requires a high level of attention to detail, confidentiality, and the ability to manage multiple tasks in a fast-paced environment. Essential Job Functions
  • Providing clerical support to the Administrative Assistant
  • Answer incoming telephone calls, route messages, and provide professional customer service
  • Prepare, maintain, and distribute internal forms and documents
  • Process accounts receivable/payable transactions and track all disbursements
  • Maintain general and specific financial ledgers, including commissary and checking accounts
  • Prepare and submit bi-weekly financial claims and reports
  • Maintain filing system as directed by the Administrative Assistant
  • Administer resident commissary accounts and order processing
  • Assist the Administrative Assistant with the payroll system on a bi-weekly basis
  • Coordinate transport calendar and agency vehicle scheduling
  • Serve as Purchasing Agent for office and center-related supply needs, including vending & commissary
  • Attend training sessions as required for professional development
  • Perform other administrative duties as assigned by the Administrative Assistant, Director and Assistant Director Minimum Qualifications
  • High school diploma or equivalent required
  • 1-3 years of relevant administrative, accounting, or payroll experience preferred
  • Demonstrated proficiency in Microsoft Word and Excel
  • Experience with financial systems and general ledger entries preferred
  • Valid Indiana driver's license
  • Excellent written and verbal communication skills
  • Strong attention to detail, organization, and confidentiality Knowledge, Skills, and Abilities
  • Ability to interpret and apply policies, procedures, and financial guidelines
  • Skilled in preparing accurate reports and maintaining records
  • Ability to manage tasks involving multiple priorities and deadlines
  • Strong analytical skills and basic mathematical competency
  • Ability to communicate effectively with internal staff and external stakeholders Physical Requirements Regularly required to sit, use hands, and communicate verbally.
Occasionally required to stand, walk, bend, kneel, and lift to 10 pounds—visual acuity needed for data entry and reading of printed materials. Work Environment Duties are performed in a standard office environment with a moderate noise level. Frequent use of standard office equipment (computer, phone, copier, etc.).

$42,438.00 per year
