About Mr. Honey Do Services Mr. Honey Do Services is a family-owned and operated handyman company serving Northwest Indiana. We are a fast-paced and growing team focused on providing quality workmanship, clear communication, and a dependable experience from the first client contact through project completion. As our company continues to grow, we are looking for a Part-Time Administrative Assistant (possibly growing into a full time position) to help keep our day-to-day office operations organized, responsive, and running smoothly. Position Summary The Administrative Assisstant is responsible for the daily administrative execution of the business , with a primary focus on keeping requests, schedules, client communication, CRM records (Jobber), quotes, and follow-up organized and moving forward. This is a hands-on role for someone who is organized, dependable, comfortable juggling multiple priorities in a fast-paced environment and able to communicate professionally with both clients and our field team. The ideal candidate enjoys keeping things organized, solving small problems before they become big ones, and making sure details don't fall through the cracks. Because MHDS is a growing company, this position will work closely with the office team and technicians and will be expected to become familiar with the company's overall workflow. Cross-training is an important part of the role. Primary ResponsibilitiesQuote & Request Intake Receive and organize incoming service requests, quote requests, and client inquiries. Gather necessary information from clients to determine next steps. Enter new requests accurately into Jobber. Ensure requests are properly categorized, documented, and moved through the appropriate workflow. Communicate with technicians and office staff as needed to keep requests moving. Scheduling Schedule assessments, appointments, and approved work according to company procedures. Coordinate schedules between clients and technicians. Monitor schedules for conflicts, changes, or missing information. Communicate scheduling updates clearly and promptly. Client Communication Serve as a friendly and professional point of contact for routine client communication. Respond to client questions and requests within established company guidelines. Provide clients with clear information about scheduling, next steps, appointments, estimates, invoices, and other routine matters. Escalate questions or concerns requiring technical, pricing, or management decisions to the appropriate team member. Quotes & Jobber Administration Start quotes and enter required information accurately. Maintain accurate customer, job, and project information in Jobber. Update job statuses and records as work progresses. Ensure notes, communications, and relevant documentation are properly recorded. Follow established Jobber workflows and procedures. Invoice Processing Prepare and process invoices according to company procedures. Review invoices for completeness and accuracy before sending. Record payments and maintain accurate job records. Follow up on routine outstanding invoice items as directed. Appointment Confirmations & Follow-Up Complete appointment confirmations according to company standards. Conduct routine client follow-up throughout the administrative process. Monitor outstanding tasks and follow-ups to ensure they are completed. Help ensure clients receive timely communication and know what to expect next. Administrative Organization Maintain organized digital and physical records. Organize documents, photos, estimates, invoices, and other project information. Enter and maintain accurate data. Keep administrative information current and accessible to the appropriate team members. Assist with general office tasks as needed. General Office Support Provide day-to-day administrative support to the MHDS office team. Assist with incoming calls, emails, and other routine communications. Support technicians and office staff with information needed to complete their work. Cross-train in other administrative functions to provide office coverage when needed. Identify routine administrative issues and work toward practical solutions within established procedures. Qualifications Required:
Previous administrative, customer service, office, and/or coordination experience Strong organizational and time-management skills Strong written and verbal communication skills Above average computer proficiency Ability to maintain confidentiality and handle client information appropriately Reliable attendance and follow-through
Preferred:
Experience in a home services, construction, property management, or similar environment Experience with Jobber or another CRM/business management platform Experience with scheduling or dispatching Experience processing invoices/payments Hours & Schedule This is a part-time position , with an anticipated schedule of approximately 20-25 hours per week . Because MHDS operates as a team, the specific schedule will be established based on business needs and candidate availability. Some flexibility in scheduling is important, and the Administrative Assistant may occasionally be asked to provide office coverage outside of their normal schedule when reasonably necessary. Complete routine follow-up consistently. Keep administrative details from falling through the cracks. Follow established processes and standards. Ask questions and communicate when something doesn't make sense. Help create a calm, organized office environment for the entire team.
