Job Description

Job Summary:

MidAmerica Nazarene University in Olathe, Kansas, is seeking an Administrative Assistant to support the Department of Natural, Health, and Mathematical Sciences. This is a full-time, 10-month staff position with an additional five hours per week during the summer months. The Administrative Assistant provides day-to-day support to the Department Chair and faculty. The ideal candidate is committed to higher education grounded in a Christ-centered worldview and to the servant leadership model and is equipped to take on the responsibilities listed below.

Position Description:

Provides day-to-day administrative and clerical support to the Department Chair and faculty within the Department of Natural, Health, and Mathematical Sciences. Serves as the first point of contact for the department, greeting visitors, answering phones, and responding to inquiries from students, faculty, and the public. Manages the Department Chair's calendar, schedules meetings, and coordinates department events, exam schedules, and room reservations. Prepares, formats, and proofreads correspondence, syllabi, reports, forms, and other departmental documents. Assists with the preparation and monitoring of the department budget, processes purchase orders, reimbursements, and departmental expense reports. Maintains accurate department records, including faculty files, course schedules, student records, and adjunct faculty documentation. Supports the hiring and onboarding process for adjunct faculty, including collecting credentialing paperwork. Assists with textbook orders, lab supply ordering, and coordination with campus facilities and IT for classroom and lab needs. Coordinates communication between the department and other university offices, including the Registrar, Academic Affairs, and Admissions. Supports departmental recruiting and student engagement events. Performs other administrative duties as assigned by the

Department Chair Qualifications:

Associate degree required; bachelor's degree preferred, or equivalent combination of education and relevant administrative experience. Prior office or administrative support experience, preferably in a higher education or academic setting. Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and willingness to learn university-specific software systems. Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain confidentiality. Excellent verbal and written communication skills, and a professional, welcoming demeanor. Ability to work collaboratively with faculty, staff, and students across the department and institution. Attention to detail and strong follow-through on tasks and projects.
