This vital role ensures the smooth operation of daily office activities and provides exceptional support to staff, clients, and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Administrator, you will manage a variety of administrative tasks that keep our office running efficiently, fostering a positive and productive environment for everyone. Responsibilities Greet visitors and manage front desk operations with professionalism and warmth Answer multi-line phone systems promptly, directing calls accurately and courteously Handle data entry, filing, and document proofreading to ensure accuracy and organization Maintain office supplies inventory and coordinate procurement as needed Schedule appointments, manage calendars, and coordinate meetings for staff and executives Support bookkeeping activities using QuickBooks or similar accounting software Provide exceptional customer service by assisting clients and addressing inquiries efficiently Manage correspondence via email and Google Workspace applications, ensuring timely responses Oversee office management tasks such as organizing files, maintaining office equipment, and ensuring a tidy workspace Assist with clerical duties including typing reports, preparing presentations, and supporting administrative projects Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent computer literacy with the ability to learn new software quickly Experience with QuickBooks or bookkeeping is highly desirable Strong phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are a plus to support diverse client needs Previous experience as a receptionist or personal assistant is advantageous Exceptional attention to detail for proofreading, data entry, and filing tasks Ability to prioritize tasks effectively using time management skills in a fast-paced environment Knowledge of medical or dental receptionist duties is beneficial but not required Join us as an Office Assistant to play a key role in creating an organized, welcoming environment where efficiency meets excellence!
