The role We're hiring an Administrative Assistant to be the organizational backbone of our Cincinnati office. You're the person who keeps things running behind the scenes

  • files saved where they should be, expenses and requests moving, travel booked, vendors and clients taken care of, and new hires set up for a smooth start. If you take quiet pride in a well-run office and in being the person everyone can count on to have it handled, this is your seat. What you'll do
  • Filing & records management. Own digital filing and records management in our company Point site
  • uploading, organizing, naming, and version-controlling documents so the team can find what it needs fast, and keeping records retained and archived in line with company policy.
  • Expense & time-off tracking. Track and manage employee expense reports and vacation/PTO requests
  • collecting submissions, checking them for completeness, routing them for approval, and keeping accurate records.
  • Bookkeeping & accounts payable. Enter and code transactions, process and track vendor invoices and payments, and keep day-to-day financial records accurate and current
  • the routine bookkeeping that keeps the office's finances clean, short of full-cycle reconciliation. For the right person, this side of the role can grow over time.
  • Marketing & event support. Assist with marketing activities, event registrations, correspondence and miscellaneous related tasks.
  • Travel coordination. Book and coordinate travel
  • flights, hotels, and ground transportation
  • for staff and leadership.
  • Vendor & client correspondence. Serve as a friendly, professional point of contact for vendors and clients by phone and email, handling routine correspondence and follow-up.
  • Onboarding & HR support. Assist with employee onboarding and HR paperwork
  • preparing documents, helping set up new hires, and keeping personnel records accurate and current.
  • Keep the office running. Handle day-to-day office coordination, including ordering and picking up team lunches, managing supplies, and general office errands. Who you are
  • 5+ years of administrative, office-support, or coordinator experience (or equivalent)
  • Comfortable using modern internet technology, including Microsoft 365
  • Outlook, Word, and Excel
  • and with Point, or a quick study who can own it fast
  • Working bookkeeping skills, including accounts-payable / receivable, vendor-payment experience, and comfort in accounting software such as QuickBooks
  • Exceptionally organized and reliable, with genuine follow-through
  • things don't fall through the cracks on your watch
  • Discreet and trustworthy with confidential information (you'll handle HR, expense, and personnel records)
  • Clear, professional written and verbal communication
  • Valid driver's license and reliable transportation for lunch pickups and local errands Nice to have
  • Broader finance-support or full accounts-payable cycle experience
  • Familiarity administering or organizing content in Point / Microsoft 365
  • Prior experience in professional services, IT, or B2B office environment
  • Connectwise PSA software experience or similar What we offer
